Setting Up and Maintaning TIER Security

Just because the task of setting the security for all the staff and working diligently on getting everyone in the correct group is completed, it doesn’t mean that this job is done forever. There will be times when new documents are added or job descriptions change or even staff members move from one department to another. And don’t forget setting up new hires and newly created positions.Every addition or removal of security access and denials will still require a lot of thought. Is there only one staff member in a group that needs additional access? How about a new report for just supervisors but they are all in different groups? Is a staff member now a patient? Is adding another group a good idea if adding additional security a group seems too risky?Five options are available when trying to answer questions like these:Set security changes under Groups and Users – This may be the only place where security needs to be set. Remember that the security comes from the top of the tree, so when granting access to a Form, don’t forget to allow access to that Folder and also the Cabinet.Add a Form section – This might be a good option to add a print button for a report that only a few group members or individuals such as supervisors may need to print. Don’t forget to also set the proper security in Groups and Users.Allow access by TierUserID – By having the :Tier_UserID as one of the “TIER® Givens” on every form, this can be used in form designs to filter by the user logged in.Create a new cabinet with limited access – Folders can be dragged and dropped to another cabinet in the tree view. One use for this is to store old or incomplete records that should not be deleted. If access is only granted to administrators, the records will be safe from accidental changes.Use the AutoOpen Search Screen – Using the tree view to navigate the records could allow unauthorized access to some records. If the user has the search screen, the tree view will be hidden.
