PECOS utility

The file is loaded through an API call to the CMS website that is performed during midnight processing. The API call reviews the date of the most recent available file and determines if it needs to be downloaded and installed. If so, it applies to the latest file. The API call compares the latest file with existing data on file to determine if any new providers were added or removed and updates the Resource Component appropriately.
Select the Load new PECOS Data from File button to manually load a downloaded .zip file.
Run the PECOS utility
- Open the PECOS utility.
- In the Connection to Database section, make sure the status is 'Connected' and the appropriate database is selected.
Result: After the database is connected, the application performs the nightly file assessment and processing. - Select Load New PECOS Data from File to manually load a PECOS file.
- Make sure you have first downloaded the CMS file. Be sure to download the .zip file (not the .pdf one).
Important: Do not extract files from the .zip file.

- Locate the .zip file downloaded from CMS and select Open.
Result: At the bottom of the window the progress bar indicates the file processing progress. It may take a few minutes, depending on the size of your database. When the processing is complete, the record is evaluated if the resource's NPI is listed in the PECOS database. If required, the PECOS Enrollment information is updated in the Resource > General > PECOS Enrollment field. - On the Individual Search tab, enter the resource name or NPI number to quickly search for a particular resource in the file downloaded from CMS.
Note: If searching by NPI, remember to enter an individual, not group, NPI. - On the Name Discrepancy tab, view the resources with discrepancies between first and last names in Netsmart Homecare and first and last names in the PECOS file. You may replace the database names with the PECOS file names by selecting the Update NHC Names button.
Note: The resource becomes PECOS enrolled even if any name discrepancy is found. - Select the Reports tab and preview the following reports:
- List of Resources without NPI
- Resources from your database that do not have individual NPI entered in Resource > General > Roles.
- List of Resources with NPI not listed in the PECOS Database
- Resources from your database with NPI not listed in the file downloaded from CMS.
- List of Resources with NPI listed in the PECOS Database and with Discrepancies in Names
- Resources from your database with NPI listed in the file downloaded from CMS that differ in their first or last name. (Such resources are considered PECOS enrolled.)
- List of Resources without NPI
