Working with Resource Families

In order to work in the Resource Families module, you must have the parent family open. Upon clicking the Select Family button, the system allows you to search for all Families in the system. These may include related families to clients and family cases.

Open a Family

  1. Click the Select Family button. 
  2. Enter search criteria and click Search or press ENTER.
  • The results of the search will indicate the profiles associated with the family name.
  • Any Family Profile can be edited in the Resource Family Module including Family Cases.
  1. Click the family name to open the family.

Dependent upon the family profiles associated with a family, you may have access to information in the following areas (if Navigation Access permits):

  • Foster/Adoptive Home
  • Family Day Care
  • Applicants

Edit a Family Profile

  1. After opening or adding a Family, you can modify the family profile by clicking the pencil next to the Family name in the Parent Selection Bar.
  2. Here you can change the address, reporting information, add new family members, and flag new profiles.

Add a Family

  1. Navigate to the Family Resources module, and then click Select Family.
  2. Search on a family name and make sure that name is not already in the database.
  3. If the name is not in the database, click the New button.
  4. In the Family Management (ADD) form, enter the following:
    • Under Family Information, type the Family Name, a required field.
    • Under Address, click Add new record, and enter the address of the family if available.
    • Complete the following optional fields that allow you to report on information about the home: Family Structure, Number of Dependents, Family Size, Total Family Income, and Yearly/Monthly (related to income).
    • Under Other Profiles Information - this is the area where you choose the other profile(s) for the family. Upon selecting one or more options, the system will create a separate profile record, and will make the profile available in it's respective form set member. For example, selecting Is Applicant will allow you to track this family as an Applicant in the Applicants area of the Resource Families Module.
    • Has a Case Record - if selected, it will also appear in Family Cases.
    • Note: Flagging a Family as 'Has a Family Case Record' does NOT allow access to the case in the Family Cases module. You must perform an Intake for a family case like you would a client to track the case and provide family case services.

    • Is a Foster Home - if selected, information about this Resource Family will appear in the Foster/Adoptive sub module.
    • Is a Day Care Center - if selected, information about this Resource Family will appear in the Family Day Care sub module.
    • Is an Applicant - if selected, information about this Resource Family will appear in the Applicants sub module.
    • Under Family Members - click Add new record to enter the family members of the family. At least one family member must be added to save the family. A person's role in the family is also required. Only one family member can be selected as the head of household. For payments to foster homes, your checks can be sent to this family member.
    • Under Additional Information - use this area to add more information about the family.

Delete a Family

Note: If you delete family in this module, you will also delete the associated profiles attached to the family, i.e. Foster Home, Applicant. If you delete a family by mistake, you will not be able to recall it nor its profiles.

  1. Open the Family in the module.
  2. In the Parent Selection Bar, click the X button next to the family name.
  3. You are prompted to confirm your deletion. Click Yes.
