Submit a completed timesheet
After the week’s information has been entered, staff can submit timesheets in the Timesheets screen. All events on the timesheet are submitted to the supervisor for approval.
Submitting a timesheet serves the same purpose as submitting each event individually from the client Service Entry screen. However, when submitting a timesheet, you are able to submit many services at once.
Note: Only completed staff time-off events can be submitted and approved. Events that have been scheduled but not completed cannot be submitted.
It is recommended that staff members submit their services on a weekly basis, as a single batch, so supervisors have the opportunity to approve services on a weekly basis (unless your agency requires more frequent submission).
- Go to: Taskbar > Staff Timesheet > Timesheets > Staff Timesheet.
- In an open timesheet, select Submit in the toolbar.
Note: If you attempt to submit a service without a required note, you receive an error message.
Unsubmit timesheets or events
If the timesheet and events have not yet been approved by a supervisor, you can un-submit a timesheet (thus un-submitting all events on that timesheet). Staff members can also un-submit individual events as long as they have not been approved.
- Go to: Taskbar > Staff Timesheet > Timesheets > Staff Timesheet.
- In an open timesheet, select Un-Submit in the toolbar.
Note: If you attempt to submit a service without a required note, you receive an error message.
- To un-submit a timesheet, in the Timesheet screen, in the toolbar, select Un-submit.
- To un-submit individual events in the timesheet, for the event select Un-submit in the event row.
Note: Un-submitting a single event un-submits the entire timesheet.
Result: After un-submitting a single event or the entire timesheet, the Submit button reappears on the screen.
- Click Close.
Result: The submitted timesheet no longer appears in the My Timesheets widget.
Add an event after the timesheet is submitted
Timesheet Submitted - Not Approved
Adding an event to a timesheet after a timesheet is submitted for approval causes the timesheet, and all of the events on it, to be unsubmitted.
A message displays that indicates adding an event/service has unsubmitted a timesheet. You need to review the timesheet and/or contact your supervisor.
After you finish adding the event, you must resubmit the timesheet.
Timesheet Submitted - Approved
After a timesheet for a specific week has been submitted and approved, a new event entered for that week will not appear on the timesheet for that week, even if that was the week on which the event took place.
The newly entered event will appear on the next available timesheet (that has not yet been approved) with a notation showing the actual date (**03/01/2010).
