Working with Forms

Entering information in myEvolv varies by module and its corresponding form set member. To view a record, you click on it to open the form. You can then edit the form, print it, view history, or send it as an alert. Behavior by way of editing and updating information varies throughout the system depending on which form set member you are viewing. You enter some information inline while other information is entered in a pop-up window or a wizard that contains forms.

There are two ways to enter items in a list: 1) Manual Event, and 2) Scheduled Task. Some form sets provide both options. In myEvolv Multi-Browser the behavior of user interface (UI) elements have changed due to redesigns and they are outlined in subtopics below.

Add a New Manual Event

Any number of entries could potentially be listed when selecting a new manual event from any area of the system, depending on:

  1. If the area is defined by the Agency or Netsmart.
  2. Worker’s security to this area, and possibly for this client.

Based on what is selected, different forms for entering data may appear. By definition, a new manual event is when you enter an event that has already happened or is currently happening and needs to be documented. It cannot be set for a future date. When you click on a New Manual Event, a list of available Events display, and they maybe limited based on Program, Event Category, or Event Group. 

Scheduled Task

Often you will want to schedule an event for a future date. You accomplish this by entering what is referred to as a scheduled task. The same menu options available for entering manual entries are available. A Generic screen will appear for you to enter the event’s due date. This event will appear in your list. You can add Due Date (that is, the latest date the event can occur), or a Scheduled Date (where the date and time is confirmed). Scheduled tasks are always set in the future. If you schedule a date in the past, you will receive a prompt.

Print the list of entered events/tasks.

Filter: Will allow you to filter the items in a listing.

Data shown in a form set area is only as current as it was when you first entered the area and any other data you entered may have entered. If other users entered data that corresponds to it you will need to refresh to have that information displayed. This can be done selecting Action | Refresh or by moving to another form set area in that module and coming back to this form set.

There are two ways to schedule a task: Manual and Automatic.

Manual

Form sets can have a Schedule Task button that allows you to select an event to schedule for a date in the future. The Task/Calendar area is another place where you can schedule a task.

Automatic

Some events are scheduled automatically based on certain criterion. For example, when a client intake is performed, myEvolv may automatically schedule an Intake Assessment to be done in five days. MyEvolv will add an event for that client. For example again,  in Demo Assessments, only those relevant clients will appear in the list, not AWOL cases.

Behavior of UI Elements

You can enter, edit, and delete information in sub forms, form sets, and inline sections. Date and time fields also behave differently in this latest version of myEvolv.

Sub forms

A sub form is an editable area that allows you to enter and edit data that exists in another area of myEvolv. When you add information into a sub form such as adding Personal Address, it populates the data in that particular areas of myEvolv. The Print Form sub form if you print will include all the data; if you Print Blank, only the field names print. If you print in Form Set Member view, it prints the list of events. 

Sub forms display all rows without scrolling. Add a new record button invokes a form to complete and the system adds the information below the last row. Click anywhere in the row to edit it. Without the scroll bar and the empty row, printing the sub form becomes more visually appealing. 

Edit or Delete a Row
  • To edit a row, click in the row and the form opens. Next make your changes, and then click Update.
  • To delete a row, click in the row to open the form, and then click Delete.

While editing, the text is surrounded by a red box.

Disabled Fields

Disabled fields appear dimmed or display the text “Disabled.”

Saving Before Completing All Required Fields

If you click Save before completing all the required fields in the form, a pop-up opens and you’ll receive a “<<em>field name> is required” message in red to the right of the field.

Inline Sections

You will observe inline sections rather tabs on forms.

Date and Time Fields

Date and Time fields are combo fields where you now enter the date and time in the same field or, alternately, use the clock icon.
