Use Approved Date as workflow trigger

Using the Approved Date as a workflow trigger instead of the Completion Date.

Treatment Plan forms in myEvolv customarily have the following date fields in the system-delivered forms:

  • Date Started
  • Date Completed
  • Expiration Date

When these fields appear in the Treatment Plan, they can be used as triggers when creating a workflow. However, some people may want to trigger a Treatment Plan Review event based on the “Approved Date” of a treatment plan instead of the Date Completed. Approved Dates are based on when the Supervisor or MD has approved the event. This depends on whether you use the “Submit” button or Routing as well as the route you have chosen for this event.

To use the Approved Date as a workflow trigger, you must first add this event_log field to your treatment plan.

To Add the Approved Date to a Treatment Plan

  1. Navigate to Setup > Treatment and Tests > Treatment Plans/Other > Form Designer.
  2. Click Open and select the Treatment Planning (NEW) form family.
  3. Select the form you are using that contains the completed information for the treatment plan. In our example, we are using AA-Completed Information.

  4. Right click where you want the Approved Date field to appear.
  5. Click Insert EventLog Field After or Insert EventLog Field Before (whichever you prefer to place your field.
  6. In the Field Properties window, click Column and select Approved Date.
  7. Click the Is Modifiable checkbox so this field becomes “read-only”.
  8. Click Save.

Note: Even though this form is “in use”, we can still add this Event Log field without causing an issue in the treatment plan since it is a read-only field that was being kept in the event_log anyway.

You can now create a workflow based on the Approved Date of the Treatment Plan instead of the Completion Date.
