Set up BHM: Routine Monitoring

To implement BHM: Routine Monitoring in myEvolv NX, complete the following configuration.

Set up duration intervals 

Routine monitoring intervals always default to the agency's default setting under Agency Information.

  1. Go to: Agency Setup > Agency > Agency > Agency Information.
  2. Under Agency-Specific Settings, go to the Behavioral Health Monitoring (BHM) section.
  3. In the BHM Default Interval field, enter the duration to use for interval tracking. 
  4. Select Save.

Note: If no duration is entered, the interval duration defaults to 30 minutes (for example, 7:00 - 7:30). Intervals can be modified when documenting in BHM: Routine Monitoring.

Create shift sets

Shift sets are linked to specific events that can be documented during a shift. Multiple shifts can be added within a shift set. 

Prerequisite: Users must have access to the formset member.

  1. Go to: Agency Setup > Other Set ups > Routine Monitoring Set up > Routine Monitoring Shifts.
  2. Select New and enter a Description
  3. In the Shift Set sub-form, enter the interval description and the associated start and end times. The following screenshot shows an example of how multiple shift intervals can be linked to one shift set.

  4. Select Save.
Create events

There are two event categories used with BHM: Routine Monitoring. Both must be configured to use this feature:

  • Behavioral Monitoring Activities - Use this category to create the parent event. For example, Visual Checks.
  • Behavioral Monitoring Activities-Other - Use this category to create the child events to indicate what other activities were completed or provided during the parent event. For example, during a Visual Check, you would have options such as Used Bathroom, Sleeping, Repositioned, or Watching TV.
  1. Go to: Agency Setup > Event Setup > People > Events Setup.
  2. Search for and select Behavioral Monitoring Activities.
  3. Select New and create to create an event.
  4. Complete or enable the following fields:
    • Description
    • Is Service Event?
    • Has Service form group?
    • Is Date Required
    • Validate against Enrollment and Discharge Dates
    • Prohibit end date in future
    • Auto Complete
  5. Select Save.

Important: 

  • Do not select Can be individually entered. BHM: Routine Monitoring Events will be completed via BHM: Routine Monitoring.
  • Do not add a route. Services entered in BHM: Routine Monitoring can only be submitted.

Repeat the above steps to create the child events using the Behavioral Monitoring Activities-Other category.

Link events to programs 

New fields have been added to indicate whether an event can be used with BHM: Routine Monitoring.

  1. Go to: Agency Setup > Services Setup > By Program > Individual Services.
  2. Select Actions on the desired program line and then Open.
  3. Select the red + sign to expand a new row. 
  4. In Service Event, search for and select the Behavioral Monitoring Activity (parent event).
  5. Complete and enable the following fields:
    1. Service Facility Type
    2. Use Routine Monitoring?
    3. Behavior Monitoring Shift
    4. Shift Interval 
      Note: Only one shift interval needs to be entered. All shifts will be available for users to select when documenting in BHM: Routine Monitoring.
    5. Electronically Signed 
    6. Can Submit (Select if the event with all other activities needs to be submitted for approval).
  6. Select Save.

Important: Do not add a route. BHM: Routine Monitoring only allows for Submit.

Repeat the above steps to add all Behavioral Monitoring Activities-Other events to be completed during the parent event(s).
