Modify program enrollment for locked service

When a service event has an incorrect program enrollment and the event is locked by either e-signing or submitting the event for approval, use the Modify Program feature to move the service event to the correct program enrollment. 

Note: If Audit Snapshot is in use, the Modify Program feature is disabled because the program recorded on the snapshot may end up being different than the program the event is moved to, leading to lack of data integrity. The recommendation in this situation is to unsubmit the event to remove the snapshot, change the program, then lock the event again.

► Prerequisites:

For the System Administrator:

  • The Can Move Locked Services? option is selected for the staff member's worker role (Agency Setup > Staff and Security Setup > Worker Roles > Role Setup).
  • The worker role has the ability to edit events for a program to which they want to move an event.
  • The Enrollment Required to Receive services option is selected in Program Setup (Agency Setup > Agency > Program Setups > Outpatient & Other) for the program providing the service.
  • Audit Snapshot is not enabled.

  1. Go to Client > Case Management > Service Management > Service Entry.
  2. Search for the client and select.
    Result: The client's events display in a table, listed by the program providing the service.
  3. In the row for the locked event that needs to have the program modified, select Actions and select Modify Program.
    Note: If Audit Snapshot is enabled, a message indicates the modify program functionality is not available. 
  4. Select the program and facility where the event should be moved. 
  5. Select Update.
    Results: 
    • The service event is moved to the selected program, and the program enrollment ID is updated for the service.
    • If the moved service event was billed, the Finance Notification workgroup receives an alert that the event was moved to a different program.
