Vendor Information
Vendors are those who we will pay in the system. To pay a foster home for placements, they will need to be linked to a vendor. (If your agency will be paying or creating the invoices to pay foster homes, you should make the Vendor for Payments field on the foster home screen required.) See Foster/Adoptive Homes.
- Since a Foster Home can also be a Family Day Center, the system allows for 1 vendor to be assigned to both profiles so as to create 1 payment a month for both the Foster and Family Day care services if this is necessary. If you want to create 2 different checks in this situation, then you would have to create 2 separate vendors.
- If your Agency has another agency providing services to clients that you record and will pay for those services, you will link a vendor to those outside organizations. See Outside Organizations
- If you need to return money to self payers via a check, the self payer must also be setup as a vendor. See Self Pay Benefit Assignment.
- The name is to whom the check will be written and the address is to where it will be addressed.
- A Vendor can be a Payer also. This is setup in Payer Information by flagging Can be Directly Paid/Refunded. See Payer Information > Can be Directly Paid/Refunded field.
- Go to: Finance > Accounts Payable > Vendors > Information
- Choose Select a Vendor
Result: The Select a Vendor screen displays. - Search for and select a vendor.
- Click Agency.
Result: The Agency Module Table screen displays. - Search for and select an agency.
- In the ID field, enter the vendor's identification number.
- In the Name field, enter the vendor's name.
- In the Payable To (Override Name on Checks) field, enter the name that will override the name displayed on the checks.
- In the Check Mailing Address Information field enter the vendor's mailing address.
- The Profiles Linked to this Vendor tab at the bottom of the screen, displays which profiles are linked to the vendor. (For example, Foster Home, Family Day Care).
- Select Save.
