Payment Updates

The following process is used for retroactive adjustments to invoices that have been paid. These invoices may have originated from client data changes or rate changes due to set up.

Client > Client Information > Critical Information > Enrollment Information

Step 1 - View and correct enrollment information

  1. Click Select Client.
  • Search for and select a client.
  1. Click the ellipsis next to a program.
  2. Select New Program Enrollment.
  3. Click Program. Search for and select the client's program.
  4. Start Date-Time - enter the client enrollment starting date and time.
  5. Program ID# - enter the program identifier
  6. Staff Responsible - This will default to the current user, change if necessary.
  7. Referral - select the associated referral.
  8. Click Cost Center Override to select a cost center override.
  9. Click Program Unit Override, if the unit associated with the program will be overridden by the client's placement.
  10. Click Placement Type. Select the type of enrollment placement.
  11. Unit and Bed - A unit is required. It allows you to specify a facility's Capacity (number of rooms, beds, etc.)
  12. If the program has an associated grade, click Grade. Select the client's grade.
  13. If the client is a child of another client in this facility, check Child of Placed Client.
  14. Click Living Arrangement. Select the client's type of living arrangement.
  15. If the client has been transferred from another HCI agency in New York state, click Transferred from another HCI Agency (NYS).
  16. If the client is part of the Bridges to Health Foster Care program in New York state, click Bridges to Health Foster Care Status (NYS).
  17. If the client enrollment differs from the program, click Modifier.
  • This field will be enabled, if program modifiers have been defined for the program.
  • Program modifiers are used for client enrollments into the program.  A modifier assignment would designate this client as different from regular enrollments into the program, and can effect the rates applied, services provided and scheduling rule.

  1. Primary Worker - select the appropriate staff member who will be the Primary Worker.
  2. Worker Role - select the worker's Security for Events
  3. Workers - add other direct worker assignments as necessary.
  4. Support Group Enrollment - enroll the client into a group. This is available when the Program Accepted To is associated with a Group.
  5. Additional Information - in the subform Additional Information, you have the ability to capture clients funding.
