Define Task Frequency

Task frequencies are created by Order Entry frequency codes (configured in Frequency Code Setup). If Order Entry frequency codes already exist when the Task List updates are initially loaded, they will automatically load as task frequencies, which may be edited for use within Task List if needed.

When an existing Order Entry frequency is modified using the Task Frequency form, it acts as an override to the default Order Entry Frequency Code setup. Because it could lead to confusion if the task frequency differs from its associated Order Entry frequency, Netsmart does not recommend editing a task frequency that is linked to an Order Entry frequency.

Additional frequencies not defined as Order Entry frequencies (or new frequency codes added to Order Entry) must be manually added to the Task Frequency form in order to use them within Task List.

At least two task frequencies should be created in addition to any frequencies generated by pre-existing Order Entry frequency codes:

  • One shift frequency for each shift defined in Task Shifts.
  • At least one unscheduled frequency.
    Note: An unscheduled frequency is one that may not have a specific block of time scheduled. For example, if an assessment must be completed at least once after admission but does not have a scheduled time when it must be completed, it may be considered an unscheduled task.

Consider creating additional task frequencies to support workflows such as Seclusion and Restraint:

  • You could present 15 Minute Safety Checks as tasks and set an Interval task frequency to 'every 15 minutes'.
  • If you want to document a flowsheet Nursing Seclusion and Restraint assessment every two hours, you could set a second Interval task frequency for 'every two hours'.

Add/Edit Frequency

Use to add a new Task Frequency or edit an existing one.

Existing Task Frequency Code

When editing an existing record, use Existing Task Frequency Code to search for the Task Frequency record to edit.

New Task Frequency Code

Enter an alphanumeric code with no spaces or special characters to represent the Task Frequency record.

Deactivate Frequency

Select to prevent the frequency from being available for use with tasks.

Task Frequency Description

Enter a short description of the frequency being defined.

Related Order Entry Frequency Code

When appropriate, select the matching Order Entry Frequency Code that aligns with the defined Task Frequency. This association will be automatically generated when Task List is initially loaded to a system with pre-existing Order Entry frequencies, and subsequent frequencies must be manually associated.

Type of Frequency

Select whether the defined frequency is to be presented for each shift, a timed task (number of tasks per day/week/and so on, and specific task times), an interval task (every nth day/hour/minute), or unscheduled.

Shift

When the selected type of frequency is Shift, use the drop-down to select the appropriate shift to which the related tasks should be associated.

One Time Only

When the selected type of frequency is Timed, select whether the task should be satisfied after one occurrence is completed, or if it should be ongoing. One Time Only will automatically set to Yes when the Type of Frequency is Unscheduled.

Every Nth Day

When the selected type of frequency is Interval, and the interval should be measured in number of days, enter the number of days between task occurrences.

Every Nth Hour

When the selected type of frequency is Interval, and the interval should be measured in number of hours, enter the number of hours between task occurrences.

Every Nth Minute

When the selected type of frequency is Interval, and the interval should be measured in number of minutes, enter the number of minutes between task occurrences.

Daily Task

When the selected type of frequency is Timed, and Task Occurrences should be presented every day, select Yes. If the Task Occurrence should be presented only on certain days of the week, select No and complete the Days Due field.

Days Due

When a Task Occurrence should be presented only on certain day(s) of the week, select which day(s) to present the task.

Unit

When the selected type of frequency is Timed, the specific time(s) when a task is due may be defined differently for each unit. When this functionality is desired, select the unit for which Task Timing Check Appropriate Hours will be defined.

AM (00:00 – 05:30)

Select the time(s) when a Timed Task will be due. Tasks due between midnight (00:00) and 5:30 am (05:30) may be indicated.

AM (06:00 – 11:30)

Select the time(s) when a Timed Task will be due. Tasks due between 6:00 am (06:00) and 11:30 am (11:30) may be indicated.

PM (12:00 – 17:30)

Select the time(s) when a timed Task will be due. Tasks due between noon (12:00) and 5:30 pm (17:30) may be indicated.

PM (18:00 – 23:30)

Select the time(s) when a timed Task will be due. Tasks due between 6:00 pm (18:00) and 11:30 pm (23:30) may be indicated.
