myAvatar Appointment Scheduling configuration for Netsmart Telehealth
There are two options when configuring appointment scheduling in a myAvatar-integrated Telehealth system. Only one can be chosen - both options cannot be utilized at the same time.
Prerequisite:
- The provider associated with the event or service/appointment must be Telehealth enabled for successful appointment integration.
- The client that is being scheduled for an appointment must have either a cell phone number or an email address on file.

Enable Netsmart Telehealth within the Service Codes form and schedule an appointment including that Service Code.
Configure Service Codes
- In myAvatar, search for Service Codes or go to Avatar PM > System Maintenance > System Definition > Service Code Maintenance > Service Codes.
- Is Telehealth Enabled? must be checked for any event that will be used as a telehealth appointment.
- Save the changes.
Schedule Appointment
- In myAvatar, choose Launch Scheduling Calendar or go to Avatar PM > Scheduling Calendar.
- Select the appropriate site, team and/or staff member for the appointment, then right-click within the calendar and select Add Appointment.
- Complete the fields to register a telehealth appointment:
- Appointment Site must be telehealth-approved.
- Service Code must be telehealth-enabled.
- The Client chosen must have either an email address or a cell phone, or both, on file in myAvatar.
- The Practitioner must be telehealth-enabled.
- Submit the appointment to display on the practitioner's Telehealth widget .

Enable Netsmart Telehealth within Registry Settings and Dictionary Update to select telehealth from the Location drop-down list when scheduling an appointment.
Configure Registry Setting
- In myAvatar, search for Registry Settings or go to Avatar PM > RADplus Utilities > Database Management > Registry Settings.
- Narrow down the Registry Settings results by searching for the word telehealth.
- Select Enable Telehealth integration at the location level and ensure the Registry Setting Value is Y.
- Submit the Registry Settings form, and select OK to confirm this action.
Configure Dictionary Update
- In myAvatar, search for Dictionary Update or go to Avatar PM > RADplus Utilities > Dictionary and Table Maintenance > Dictionary Update.
- In the File drop-down, select Client.
- In the Data Element field, choose whether to search by Data Element Description or Data Element Number, then locate and select (10006) Location.
- Find the given Dictionary Code and/or Dictionary Value for the location where telehealth appointments are to be enabled
- For example, I am configuring for the Dictionary Value East Campus which has a Dictionary Code of 1. If East Campus is chosen from the location drop-down when scheduling an appointment, the appointment will become telehealth-enabled.
- In the Extended Dictionary Data Element drop-down, choose (586) Is this a Telehealth location.
- In the Extended Dictionary Value (Single Dictionary) drop-down, choose Yes.
Schedule Appointment
- In myAvatar, choose Launch Scheduling Calendar or go to Avatar PM > Scheduling Calendar.
