Event Log Definition

Track myAvatar events in an event log. 

  • Use the Event Log Report form to generate a report of myAvatar events.
  • Event tracking can be enabled or disabled for the following types of myAvatar events.

Types of Events

An event is defined when any of the following actions occur in myAvatar:

  • Data Copied
  • Data Printed
  • Data Queried
  • Entry Accessed (client record viewed)
  • Entry Added (new client record added)
  • Entry Revised (record edited in the Update Client Demographics form)
  • Entry Deleted (client record deleted)
  • Order Added (new order)
  • Order Renewed (renewed order)
  • Order Changed (change order)
  • Order Verified (verified order)
  • Login (successful login)
  • Logout (successful logout)
  • Failed Login (unsuccessful login)
  • PHI Export (Avatar form report sent to printer)
  • Signature Accepted (progress note filed with "Final" status)
  • Restricted Data Accessed (client chart accessed for client listed in the Block Client Chart form)
  • Restricted Data Access Denied (access denied for client listed in Block Client Chart)
  • User Account Added (user added to User Definition form)
  • User Account Modified (user edited or reactivated in User Definition form)
  • User Account Inactivated (user inactivated in User Definition form)
  • Session Lockout (user locked out of myAvatar due to inactivity)

  1. Go to: RADplus Utilities > System Security > Auditing > Event Log Definition.
  2. In the Select Events to Log field, choose the events to record.
  3. In the Enable Auto Archiving field:
  • Select Yes to archive event log information on a scheduled basis.
    • In the Directory to Place Archive Files In field, enter the directory where archived event log files will be stored.
    • In the Minimum Number of Days to Keep field, enter the minimum number of days to keep the data in the database. For example, if you set this to '365' days, all records older than a year will be archived.
  • Select No to bypass event log archiving.
  1. Click Submit.

Note:  These steps need to be completed for each facility. 

After archiving is enabled, use the System Task Scheduler form to schedule when the process should be run. The archiving process creates a file on the server which can be imported into another system.

The Event Log Archive process purges records as it exports them to the archive directory. If the process is interrupted, it begins with the oldest remaining record. Database space is not initially recovered because a Delete record is created when a record is Archived/Deleted by the archive process. The space is recovered once enough time has passed so the Delete record is Archived/Purged, depending on the value in the Minimum Number of Days to Keep field.
