Deleting Documents - Perceptive
PURPOSE – If a document was scanned into myAvatar incorrectly and it should no longer be accessible in the client’s chart, it is possible to delete the document in myAvatar and ImageNow.
PREREQUISITES –
- Access to the "Delete Document" form in User Definition/User Role Definition (for myAvatar )
- Need to be a Document Management Administrator in User Definition/User Role Definition (for ImageNow)
- ImageNow needs to be installed on local machine (for ImageNow)
How do I delete a document in myAvatar ?
- Navigate to the “Delete Document” form in myAvatar .
- In the “Entity Type” field, select Client.
- The “Include” field allows you to filter which documents you would like to be able to select.
- All: will return all documents that have been scanned/imported into the system. This will return a large number of results and should be used sparingly.
- Individual: will allow you to filter the documents by a particular client.
- Select Individual in the “Include” field.
- In the “Entity” field, select the client that needs a document deleted.
- In the “Episode” field, select the episode that the document is filed under.
- None is referencing documents scanned into the client “Non-Episodic” episode.
- Click on the “Form Search” command launch button.
- A new window will appear with a list of all of the document types that have document filed for that client/episode.
- Select the appropriate document type and then click OK.
- The “Select Form” drop down field will now be populated with the documents filed under the document type you selected above.
- Select the form that you would like to delete and then click on the “Delete” button.
- I would recommend documenting the unique ID before clicking Delete. This will help you verify that you have the correct document on the ImageNow side.
- A warning message will appear that says “Are you sure you want to delete this document?”. Select Yes.
- Click on the “Exit” button to close out of the form.
How do I delete documents from ImageNow
- Launch ImageNow with an Administrator account/login.
- On the ImageNow Toolbar, click on the “Documents” icon.
- Change name to field one and in the search box type “(PATID #”. Then click Go.
- You can click on a column header to sort alphabetically.
- You can also get rid of an unnecessary column by click and dragging the column header up. Once you see the X next to the column name, unclick and the column will disappear.
- Find document with the matching the Unique ID. Click on the red X at the top of the screen to delete.
