File Import Layout

The File Import Layout will match the layout specifications that DHCS has released for the data submission files. Please refer to the most recent DHCS Data Dictionaries for those requirements. For reference:

During the import process, in order to match an assessment record to the appropriate client episode, the system will validate the following:

  • PATID / CCN - Must be a valid PATID within the system.
  • Date of Assessment - The date of assessment must fall within admission – discharge dates.
  • Provider ID - Must match the Provider Code (S/D Medi-Cal) four digit numbered stored within Program Maintenance.

If an exact match is not found then the record will error and will not be processed.

The CANS/PSC35 File Import form is added to myAvatar in the following released updates:

  • Avatar Cal-PM 2019 Update 56
  • Avatar Cal-PM 2019 Update 68

  1. Select Filename and choose a file import.
    Note: Only one file can be processed at a time. The file path for the imported records is defined in Facility Defaults.
  2. Select Submit to start the import process
    Result: An informational message will display stating, “The file load process has started and may take a while based on the size of the file. Exiting the form at this time will not stop the load process.”
  3. Return to the CANS/PSC35 File Import form to review the results in the Current File Load Status field.
  4. Select Refresh to refresh the Current File Load Status field.
    Note: If a large file is being processed, selecting Refresh will display the current status, whether the file is still being processed or the import process has been completed.
  5. Select Clear History to remove the history displayed in the Current File Load Status box.
