Order Entry Console (Orders This Episode section) - Modifying Imaging-type and Not applicable-type orders.
Note - These testing guidelines assume the user is skilled in the use of, at a minimum, the following:
Scenario 1: OE NX - Orders This Episode - Creating a new order, printing, copying and modifying an order with an 'Order Type Category' of "Imaging".
Specific Setup:
- An imaging-type order code must exist. (Cat Scan)
- A client must have an active episode. (Client A)
- Client A must have a ‘Date of Birth’, ‘Sex’ and address on file in the ‘Update Client Data’ form, as well as information filed in the ‘Allergies and Hypersensitivities’ form, ‘Diagnosis’ form and in the ‘Height’ and ‘Weight’ fields in the ‘Vitals Entry’ form.
Steps
- Select “Client A” and access the Order Entry Console.
- Search for and select "Cat Scan" in the 'New Order' field.
- Set the 'Duration' field to "1" and click [Days].
- Validate the 'Addl Instructions' field is not required.
- Click [Add to Scratchpad] and [Sign].
- Validate the "Cat Scan" order is displayed in the 'Order grid'.
- Select the order and click [Print].
- Validate that the 'Order Detail Report' is displayed and contains all information pertaining to the order.
- Close the report.
- Select the order for "Cat Scan" from the 'Order grid' and click [Copy].
- Validate a message is displayed stating: "Do you want the new order to default to START AFTER the original orders end?" and click [Yes].
- Validate the 'Duration' field contains "1" and [Days] is selected.
- Validate the 'Addl Instructions' field is not required.
- Click [Add to Scratchpad] and [Sign].
- Validate the 'Interactions' dialog is displayed.
- Set the 'Notes' field to any value and click [Save Override and Exit].
- Validate that two "Cat Scan" orders are displayed in the 'Order grid'.
- Select the first order in the 'Order grid' and click [Modify].
- Validate the 'Duration' field contains "1" and [Days] is selected.
- Validate the 'Addl Instructions' field is not required.
- Click [Add to Scratchpad] and [Sign].
- Validate the 'Interactions' dialog is displayed.
- Set the 'Notes' field to any value and click [Save Override and Exit].
- Validate that the new order for "Cat Scan" is displayed.
Scenario 2: OE NX - Orders This Episode - Creating a new order, copying and modifying an order with an 'Order Type Category' of "Not Applicable".
Specific Setup:
- An order code with an 'Order Type Category' of "Not Applicable" must exist. (Family Therapy)
- A client must have an active episode. (Client A)
- Client A must have a ‘Date of Birth’, ‘Sex’ and address on file in the ‘Update Client Data’ form, as well as information filed in the ‘Allergies and Hypersensitivities’ form, ‘Diagnosis’ form and in the ‘Height’ and ‘Weight’ fields in the ‘Vitals Entry’ form.

Avatar OE - Custom Administration dialog

Specific Setup:
- A client must have an active episode. (Client A)
- “Client A” must have a ‘Date of Birth’, ‘Sex’ and address on file in the ‘Update Client Data’ form, as well as information filed in the ‘Allergies and Hypersensitivities’ form, ‘Diagnosis’ form, and in the ‘Height’ and ‘Weight’ fields in the ‘Vitals Entry’ form.
Steps
- Select "Client A" and access the Order Entry Console.
- Search for and select "ALEVE ARTHRITIS (NAPROXEN SODIUM) 220 MG TABLET ORAL" from the 'New Order' field.
- Set the Dose field to "2".
- Select "TABLET" from the 'Dose Unit' field.
- Select "3 TIMES A DAY" from the 'Freq' field and click [custom].
- Verify the 'Custom Administration' dialog is displayed.
- Set the 4th 'Scheduled Administration Time' field to "5" and press Tab"
- Validate a message displays stating "Invalid time format. Enter as either HH:MM AM, HH:MM PM or HHMM military time. (Midnight is 0000 hours.)" and click [OK] and [Save].
- Set the 'Duration' field to "12" and click [Days].
- Click [Add to Scratchpad] and [Sign].
- Validate the 'Order grid' contains an order for "ALEVE ARTHRITIS (NAPROXEN SODIUM) 220 MG ORAL TABLET2 TABLET, 3 TIMES A DAY".

Scenario 1: "Send To Do Notification" form - Functionality (Send & Review To Do sent to a "User")
Specific Setup:
- Have a client enrolled in an open episode [ClientA]
- Have two users. [UserA] and [UserB]
- [UserA] has access to the "Send To Do Notification" form
- In form "Dictionary Update", have data element "(20041) To Do Category" in the file "User" populated with one or more dictionary values
- Both users have the "My To Do's" widget on their home view
- Both users are logged in
Steps
- As [UserA], open form "Send To Do Notification"
- Populate the "Client" field. [ClientA]
- Select a 'To Do' priority level in the "Priority" field. Choices will be: "None, Low, Medium, High or Emergency". (Note: Medium, High or Emergency priorities are considered as criticality "High" and will display a color coded triangular icon in the "Priority" column for that 'To Do')
- Click the "To Do Category" field drop down list
- Validate the categories added are displayed on the list
- Select a category from the list
- Populate the "Due Date" field
- Populate the "To Do Message" text field
- Populate the "Detailed Message" text field
- Select [UserB] in the "Select User" field
- Click [Add User] button
- Validate [UserB] is populated in the "Send To" box
- Click the check box next to the users name
- Select the "Yes" radio button in the "Notify Sender When 'To Do' Item is Reviewed" field
- Click the [File To Do] button. [Make a note of date and time]
- Navigate to the "My To Do's" widget
- Click the "Sent & Not Reviewed" tab
- Validate the there's a new row displayed with "Client" column populated with name of [ClientA] and select the row
- If applicable, hover over the triangular icon in the "Priority" column. (Note: Medium, High or Emergency display the icon)
- Validate if "Priority" was sent as "Medium", the icon is 'Yellow' and the hover over text displays the "To Do Message" sent along with the text "Criticality is High" below it
- Validate if "Priority" was sent as High" the icon is 'Orange' and the hover over text displays the "To Do Message" sent along with the text "Criticality is High" below it
- Validate if "Priority" was sent as "Emergency", the icon is 'Red' and the hover over text displays the "To Do Message" sent along with the text "Criticality is High" below it
- Validate the "Form" column displays "Send To Do Notification"
- Validate the "Sent" column indicates the date the 'To Do' was generated based on the date noted in step 13
- Validate the "Due Date" column indicates the date populated in step 5
- Validate if the due date is the current date or prior, the field is highlighted in 'Pink'
- Validate the "To" field indicates [UserB] as the user sent the 'To Do'
- Validate the "Comments" field displays the "To Do Message" text entered in step 6
- Validate the "Category" column is populated as expected
- Validate the "Escalate" column contains a link that says "Escalate To Do Item"
- As [UserB], click the 'refresh' button on the "My To Do's" widget
- Click the "New" tab
- Validate there is a new 'To Do' and the "Client" column is populated with the name of [ClientA] and select the row
- Validate the "Form" column displays "Send To Do Notification"
- Validate the "Sent" column indicates the date the 'To Do' was generated based on the date noted in step 13
- Validate the "Due Date" column indicates the date populated in step 5.
- Validate if the due date is the current date or prior, the field is highlighted in 'Pink'
- Validate the "From" column indicates [UserA] as the user who sent the 'To Do'

- Validate the "Comments" field displays message entered in step 6

- Validate the "Action" contains a "Review To Do Item" link
- Click the "Review To Do Item" link to launch the "Review To Do Item" form
- In the "To Do Information" text box validate:
- The "Date Sent" and "Time Sent" values are accurate based on the time and date noted in step 13
- The "Sent By" field is populated with [UserA]
- The "Option" field contains "Send To Do Notification"
- Includes the "To Do Message" and "Detailed "Message" text, populated in step 6 and step 7
- Populate the "Notes To Sender" text box with a message to send to the sender [UserA]
- Click the "Reviewed" check box
- Click [Submit] (Note the date and time)
- Validate the 'To Do' is removed from the widget
- As [UserA], validate a system message popup "There are one or more message in your Workflow Management 'To Do' List" is displayed
- Click [OK]
- Click the 'refresh' button on the 'To Do' list
- Click the [New Tab]
- Validate there is a new 'To Do' and the "Client" column is populated with the name of [ClientA] and select the row
- Validate the "From" column populated with [UserB]
- Validate the "Comments" column indicates the "Notes to Sender" message added in step 39
- Validate the "Form" column indicates "Review To Do Item"
- Validate the "Category" column is populated as expected
- In the "Action" column, click [Review To Do Item] to launch the "Review To Do Item" form
- In the "To Do Information" text box validate:
- The "Date Sent" and "Time Sent" values are accurate based on the time and date noted in step 42
- The "Sent By" field is populated with [UserB]
- The "Option" field contains "Review To Do item"
- Below the "Option" field, validate the "Notes to Sender" message added in step 40 is displayed
- Click the "Reviewed" check box
- Click [Submit]
- Validate the 'To Do' for [ClientA] is removed from the "New" tab in the "My To Do's" widget
- Click the "Sent & Not Reviewed" tab in the "My To Do's" widget
- Validate the 'To Do' for [ClientA] has been removed
Scenario 2: Send To Do Notification - (Escalate To Do Item) Functionality
Specific Setup:
- Have three users. [UserA], [UserB] and [UserC]
- [UserA] has sent a 'To Do' for [ClientA] via form "Send To Do Notification" form to user [UserB].
- [UserA] and [UserC] are logged in.
- Both users have the "My To Do's" widget on their home view
Steps
- As [UserA], click the "Sent & Not Received" tab in the "My To Do's" widget
- Validate the there is a 'To Do' row sent by [UserB] for [ClientA] in the To Do list
- Click the "Escalate To Do Item" link in the "Escalate" column for that row
- Validate the "Escalate To Do Item" form is displayed and the "To Do Information" text box indicates;
- The date and time that [UserA] initiated the 'To Do'
- Sent By: UserA
- Option: 'Send To Do Notification'
- Messages sent to [UserB], if applicable
- In the "Select User" search field, search for [UserC]
- Click [Add User]
- In the "Sent To" field, click the check box for [UserC]
- In the "Note", enter a message for [UserC]. For example, "Escalating this 'To Do' I had sent to [UserB], please review it"
- Click [Submit]
- At the "To Do Sent" message, click [OK] (Note the date and time)
- Click the "Sent & Not Received" tab
- Validate a new row is present displaying the 'To Do' just sent to [UserC] for the escalation
- As [UserC], click the 'refresh' button on the "My To Do's" widget
- Click the "New" tab in the widget
- Validate there is a 'To Do' displayed with "From" column populated with [UserA]
- Validate the "Comments" column is populated with the message sent in step 4
- Click [Review To Do Item] in the "Action" column
- Validate the "Review To do Item" form is displayed and the "To Do Information" text box contains;
- The date and time that [UserA] initiated the 'To Do' to [UserC], noted in step 4
- Sent By: UserA

- As [UserA], open the "Send To Do Notification" form
- Populate [ClientA] in the "Client" field

Scenario 1: Validate 'Treatment Plan' and 'Problem List' forms
Specific Setup:
- The 'Avatar CWS->Treatment Plan ->->->->Enable Automatic Backup' registry setting must be set to "Y".
- Please log out of the application and log back in after completing the above configuration.
- The system must be configured with multiple staff members. (Staff A) (Staff B) and (Staff C).=
- A Client must exist in an active episode (Client A)
Steps
- Select “Client A” and access the ‘Treatment Plan’ form.
- Set the ‘Plan Date’ to the current date.
- Set the ‘Plan Name’ to any value.
- Select any value from the ‘Plan Type’ field.
- Select “Draft” from the ‘Treatment Plan Status’ field and click [New Row]
- Set the 1st cell in the 'Problems' grid to any value and click [New Row].
- Set the 2nd cell in the 'Problems' grid to any value.
- Select the ‘Include in the Plan’ checkbox for the 1st cell in the ‘Problems grid’.
- Set the 1st ‘Role’ cell in the 'Plan Participants' grid to “Staff”
- Set the 1st ‘Staff ID’ cell in the ‘'Plan Participants' grid to “1”.
- Set the 2nd ‘Role’ cell in the 'Plan Participants' grid to “Staff”.
- Set the 2nd ‘Staff ID’ cell in the ‘'Plan Participants' grid to “4” and click [Launch Plan].
- Click [Add New Problem].
- Set the ‘Problem Code’ field to any value.

- Select “Active” in the ‘Status(Problem List)’ field.

- Validate the 2nd cell in the 'Problems' grid has the ‘Include in This Plan’ checkbox not selected.
- Validate the 3rd cell in the 'Problems' grid has the ‘Include in This Plan’ checkbox selected.
- Validate the 1st row in the 'Plan Participants' grid contains “Staff ID 1”.
- Validate the 2nd row in the 'Plan Participants' grid contains “Staff ID 4” and click [New Row].
- Set the 3rd ‘Role’ cell in the 'Plan Participants' grid to “Staff”.
- Set the 3rd ‘Staff ID’ cell in the ‘Plan Participants grid’ to “2” and click [Launch Plan].
- Click [Back to Plan Page].
- Close the form.
- Select “Client A” and access the ‘Treatment Plan’ form.
- Click [Add].
- Validate the ‘Load From Backup’ dialog displays with a message stating: “You have an unsubmitted backup of a plan from the current date at the current time. Would you like to load it instead of creating a new one?” and click [Yes].
- Validate the 3rd Row in the 'Plan Participants' grid contains “Staff ID 2” and click [Launch Plan].
- Validate the two problems added to the plan from the ‘Problems grid’ and the ‘Tree view’ problem are displayed.
- Click [Back to Plan Page] and [Submit].
- Select “Client A” and access the ‘Problem List’ form.
- Click [View/Enter Problems].
- Validate the problems added in the previous steps are added with a status of “Active” and click [Save].
- Validate the ‘Exit Grid’ dialog is displayed and click [Yes].
- Click [Submit].
- Access ‘Crystal Reports’ and create a report for the ‘SYSTEM.tx_plan’ table.
- Validate the report contains a data row for the treatment plan filed for “Client A”.
- Close the report.
- Create another report for the ‘SYSTEM.cw_problem list’ table.
- Validate the report contains data rows for the problems filed for “Client A”.
- Close the report.
Scenario 2: Treatment Plan - add a problem, goal, objective, and intervention
Specific Setup:
- The 'Avatar CWS->Treatment Plan->->->->Enable Automatic Backup' registry setting must be set to "Y".

'Set System Defaults' form

Scenario 1: Filing the 'Set System Defaults' form
Specific Setup:
- A copy of the Treatment Plan form has been created with a number greater than 11. Example: 'Treatment Plan Number 17'.
- Using 'Site Specific Section Modeling' for the selected Treatment Plan copy, the 'Site Specific Section Description' field is edited to another description. Example: 'Treatment Plan Number 17 for Psych Eval'.
- A plan is finalized for any test client for the copy of the treatment plan
- A frequency code must be configured via the 'Frequency Code Setup' form.
- For any of the progress notes forms, set the following Registry Settings. (Ambulatory Progress Notes is used in the example):
- Registry Setting "Avatar CWS->Progress Notes->Ambulatory->->->Display Treatment Plans in Treatment Plan Grid". Enter treatment plan numbers concatenated with '&'. The selected plans will be available for selection in the 'Select T.P. Version' column in the 'Treatment Plan' grid.
- Registry Setting "Avatar CWS->Progress Notes->Ambulatory->->->Enable Treatment Plan Grid". Enter "Y" to add 'Treatment Plan' grid field to the form.
Steps
- Open the 'Set System Defaults' form.
- Navigate to the "Update Treatment Plan Type Selections To Match The Site-Specific Tab Description For Tab 1 of The Form".
- Select "Y" to update them based on the Site-Specific Tab Description.
- Select any value in the 'Allowed Frequency Codes for Interventions' field.
- Click [Submit].
- Open the 'Set System Defaults' form.
- Validate the 'Disable The Selections Of the Following Treatment Plan Types' field contains the edited treatment plan name.
- Validate the 'Display Treatment Plans in Selection Leaf for The Selected Plans' contains the edited treatment plan name.
- Validate the 'Allowed Frequency Codes for Interventions' field contains the values previously selected.
- Close the form.
- Open the progress notes form used in the 'Setup/Permissions' above.
- Navigate to the 'Treatment Plan' grid.
- Double click on the 'Select T.P. Version' field.
- Verify the Treatment Plan copy displays the edited name.
- Click [Close Form].
Scenario 2: Treatment Plan Interventions - Site Specific Section Modeling

Scenario 1: OE NX - Create New lab-type order where 'Addl Instructions' are required in 'Frequency Code Setup'
Specific Setup:
- A client must have an active episode. (Client A)
- “Client A” must have a ‘Date of Birth’, ‘Sex’ and address on file in the ‘Update Client Data’ form, as well as information filed in the ‘Allergies and Hypersensitivities’ form, ‘Diagnosis’ form, and in the ‘Height’ and ‘Weight’ fields in the ‘Vitals Entry’ form.
- A 'Frequency Code' must exist where "Yes" is selected in the 'Require Special/Additional Instructions With This Frequency Code' field.(Frequency Code A)
- A lab-type order code must exist where "No" is selected in the 'Require Special/Additional Instructions' field. (Order Code A)
Steps
- Select “Client A” and access the Order Entry Console.
- Search for and select "Order Code A" in the 'New Order' field.
- Select 'Frequency Code A' from the 'Frequency' field.
- Set the 'Duration' field to "1" and click [Days].
- Validate the 'Addl Instructions' field is required.
- Click [Add to Scratchpad].
- Validate the 'Scratchpad' contains an order for "Order Code A" with a red flag in the 'Action' column.
- Select the order in the 'Scratchpad'.
- Set the 'Addl Instructions' field to any value and click [Update Order].
- Validate the 'Scratchpad' contains an order for "Order Code A" with no red flag in the 'Action' column.
- Click [Sign].
- Validate the 'Order grid' contains the order for "Order Code A" with the information entered in 'Addl Instructions'.
- Access the 'Frequency Code Setup' form.
- Search for and select "Frequency Code A" and select "No" in the 'Require Special/Additional Instructions With This Frequency Code' field.
- Validate that "Client A" is selected and access the Order Entry Console.
- Search for and select "Order Code A" in the 'New Order' field.
- Select "Frequency Code A" from the 'Frequency' field.

- Select "TABLET" from the 'Dose Unit' field.
- Select "TWICE A DAY" from the 'Freq' field.
- Set the 'Duration' field to "12" and click [Days].

Specific Setup:
- Avatar PM 2021 Update 118, RADplus 2021 Update 116, and myAvatar Client Update 2513-003 or 3201-001 must be installed in order to utilize full functionality.
- The 'RADplus->Database Management->Client Lookup->->->Enable enhanced caseload management from the 'Clients and Data' widget' registry setting must be set to the User Role associated to the user logged into the application. (HomeviewCLINICIAN) (User A)
- Please log out of the application and log back in after completing the above configuration.
- Four clients must have active episodes. (Client A) (Client B) (Client C) (Client D)
- "User A" must be logged into the application.
Steps
- Search for and select “Client A” in the ‘Search Clients’ field of the ‘My Clients’ widget.
- Access any form within the application for “Client A”.
- Close the form.
- Validate that "Client A" is displayed under 'Recent Clients'.
- Right click “Client A” and select [Remove From List].
- Validate that the 'Recent Clients' list does not contain "Client A".
- Search for and select “Client B” in the ‘Search Clients’ field of the ‘My Clients’ widget.
- Access any form within the application for “Client B”.
- Close the form.
- Validate that “Client B” displays in the ‘Recent Clients’ list.

- Validate that "Client A" is selected and access the 'eMAR' widget.
- Right click the administered cell under the current date for the "COUMADIN" order and select "Void Administration Event".
- Validate the 'Administration Event' dialog is displayed.
- Select "Void Administration Event and Results" and click [Submit Void].
- Validate a message is displayed stating: "Are you sure you want to void this Event and Result?" and click [Yes].
- Refresh the report created using the 'SYSTEM.cw_vital_signs' table.
- Validate that all rows for this administration and result have been removed.
