Client Merge Processing
Note - These testing guidelines assume the user is skilled in the use of, at a minimum, the following:
  • Attachments
  • Provider Admission Pre-Display
  • Service Authorization Pre-Display
  • Look Up Client
Scenario 1: 'Client Merge' - Verification of Single-Filing Client Merge Processing in ProviderConnect
Specific Setup:
  • Avatar PM Registry Setting 'Allow Merging of All Client Data Through Single Filing' must be enabled
  • 'Source' and 'Target' client records eligible for episodic and non-episodic data merge
Steps
  1. Open Avatar PM 'Client Merge' form.
  2. Select 'Source Client ID', using client with at least one existing episode.
  3. Set 'Merge All Client Data Through Single Filing' field to 'Yes'.
  4. Select 'Target Client ID'.
  5. Click 'File' button, and click 'Yes' button in the 'Do You Wish To Continue With The Indicated Action?' dialog.
  6. Ensure that merge verification dialog is presented on completion of merge
  7. Login to Netsmart ProviderConnect as Contracting Provider agency/user.
  8. Navigate to ProviderConnect 'Lookup Client' form.
  9. Set 'Member ID' search criteria field to 'Source Client ID' and click 'Search by Criteria' button.
  10. Ensure that 'Source Client ID' client record is not returned in ProviderConnect Lookup Client results (since deleted on single-filing merge) and 'Client not found' message is displayed,
  11. Click 'Search Criteria' link to return to 'Lookup Client' criteria entry form.
  12. Set 'Member ID' search criteria field to 'Target Client ID' and click 'Search by Criteria' button.
  13. Ensure that 'Target Client ID' client record is returned in ProviderConnect Lookup Client results.
  14. Click 'Client ID' to enter 'Target Client ID' record.
  15. Navigate to ProviderConnect 'Provider Admission' pre-display.
  16. Ensure that episode records (Admission/Discharge) from both 'Source Client ID' and 'Target Client ID' are present in 'Target Client ID' record.
  17. Navigate to ProviderConnect 'Authorizations' pre-display.
  18. Ensure that Service Authorization records from both 'Source Client ID' and 'Target Client ID' are present in 'Target Client ID' record.
  19. Ensure that Service Authorization File Attachment records from both 'Source Client ID' and 'Target Client ID' are present in 'Target Client ID' record if applicable/present.
  20. Navigate to ProviderConnect 'Attachments' pre-display.
  21. Ensure that Client/Provider File Attachment records from both 'Source Client ID' and 'Target Client ID' are present in 'Target Client ID' record if applicable/present.
  22. Ensure that other applicable client records (Financial Eligibility, Services, etc) from 'Source Client' are also available within 'Target Client ID' record in ProviderConnect following merge.
Scenario 2: 'Client Merge' - Verification of Episodic and Non-Episodic Client Merge Processing in ProviderConnect
Specific Setup:
  • Source' and 'Target' client records eligible for episodic and non-episodic data merge
Steps
  1. Open Avatar PM 'Client Merge' form.
  2. Select 'Source Client ID', using client with at least one existing episode.
  3. Set 'Merge All Client Data Through Single Filing' field to 'No' (if field enabled).
  4. Select 'Source Client Episode' episode value.
  5. Select 'Target Client ID'.
  6. Click 'File' button, and click 'Yes' button in the 'Do You Wish To Continue With The Indicated Action?' dialog.
  7. Ensure that merge verification dialog is presented on completion of merge.
  8. Login to Netsmart ProviderConnect as Contracting Provider agency/user.
  9. Navigate to ProviderConnect 'Lookup Client' form.
  10. Set 'Member ID' search criteria field to 'Source Client ID' and click 'Search by Criteria' button.
  11. Ensure that 'Source Client ID' client record is returned in ProviderConnect Lookup Client results (since not deleted on episodic merge).
  12. Click 'Search Criteria' link to return to 'Lookup Client' criteria entry form.
  13. Set 'Member ID' search criteria field to 'Target Client ID' and click 'Search by Criteria' button.
  14. Ensure that 'Target Client ID' client record is returned in ProviderConnect Lookup Client results.
  15. Click 'Client ID' to enter 'Target Client ID' record.
  16. Navigate to ProviderConnect 'Provider Admission' pre-display.
  17. Ensure that episodic records (Admission/Discharge, Cal-OMS records, etc) from both 'Source Client ID' and 'Target Client ID' are present in 'Target Client ID' record in ProviderConnect following episodic data merge.
  18. In Avatar 'Client Merge' form, select 'Source Client ID', using same source client as episodic merge.
  19. Set 'Merge All Client Data Through Single Filing' field to 'No' (if field enabled).
  20. Select 'Non-Episodic Data' as 'Source Client Episode' value.
  21. Select 'Target Client ID'.
  22. Click 'File' button, and click 'Yes' button in the 'Do You Wish To Continue With The Indicated Action?' dialog.
  23. Ensure that merge verification dialog is presented on completion of merge.
  24. Navigate to ProviderConnect 'Lookup Client' form.
  25. Set 'Member ID' search criteria field to 'Source Client ID' and click 'Search by Criteria' button.
  26. Ensure that 'Source Client ID' client record is not returned in ProviderConnect Lookup Client results (since deleted on non-episodic merge) and 'Client not found' message is displayed.

  28. Set 'Member ID' search criteria field to 'Target Client ID' and click 'Search by Criteria' button.
  29. Ensure that 'Target Client ID' client record is returned in ProviderConnect Lookup Client results.

  32. Ensure that Service Authorization records from both 'Source Client ID' and 'Target Client ID' are present in 'Target Client ID' record.

Scenario 1: ProviderConnect 'News' Display - Verification Of News Item Posting/View
Specific Setup:
  • An administrative-level ProviderConnect Login is required to Add/Update 'News Display' entries
Steps
  1. As administrative-level ProviderConnect user, open 'Utilities' menu.
  2. Click 'Manage News' link.
  3. Click 'Add News' button (or 'Edit' link for existing News item).
  4. In 'Text' field, enter News item display text (may also include one or more HTML formatting tags or HTML hyperlinks).
  5. Click 'Add' button (or 'Edit' button for existing News item).
  6. In 'News' display (as any ProviderConnect system user), ensure that 'Text' field entry for News Item is displayed, HTML formatting tags are not displayed, HTML hyperlinks are correctly displayed/linked, and that only non-HTML portion of entered notes are displayed (with HTML formatting enforced where existing).
Scenario 2: ProviderConnect 'Demographic' Form - Form Verification
Specific Setup:
  • 'View Demographic' and 'Edit Demographic' permissions must be assigned to user/access group
Steps
  1. In ProviderConnect Main Menu, open 'Lookup Client' form.
  2. Enter lookup criteria for client and click 'Search by Criteria' button.
  3. In 'Client Lookup' results, open client record.
  4. Navigate to 'Demographic' pre-display tab.
  5. In 'Member Street 1', 'Member Street 2' and/or 'Member City' address fields, ensure that on entry of special/invalid characters (such as *, @, !, "), user is presented with a pop-up Error dialog noting "The following will prevent a successful save. Please make the necessary corrections" and referencing invalid field. (Example: "The following will prevent a successful save: Member Street 1 may only contain the following characters: A-Z, a-z, 0-9, '#- Please make the necessary corrections")
  6. Click 'OK' button, and ensure that pop-up Error dialog is closed.
  7. Ensure that entry of only allowed characters in 'Member Street 1', 'Member Street 2' and/or 'Member City' address fields allows entry/saving of 'Demographic' form/record without pop-up error dialog.
  8. Enter/edit additional 'Demographic' form fields as required/desired.
  9. Click 'Save Record' button to save/file 'Demographic' form update.
  10. Ensure that updated field values are present/displayed in ProviderConnect 'Demographic' form/record display following save/file action.
Scenario 3: ProviderConnect 'Women's Health History' Form - Form Verification
Specific Setup:
  • 'Add Women's Health History', 'Edit Women's Health History' and 'View Women's Health History' permissions must be assigned to user/access group
Steps
  1. In ProviderConnect Main Menu, open 'Lookup Client' form.
  2. Enter lookup criteria for client and click 'Search by Criteria' button.
  3. In 'Client Lookup' results, select/open client record.
  4. Click 'Women's Health History' sidebar menu tab, and ensure that 'Women's Health History' pre-display is opened.
  5. In 'Women's Health History pre-display, ensure that display of existing records for view/edit selection includes only those where Program of associated episode is allowed/valid for user's Contracting Provider agency; ensure that any existing records where Program of related episode is disallowed/invalid for user's Contracting Provider agency are not included/available for selection.
  6. In 'Women's Health History' pre-display, ensure that 'Add Health History Record' button is present (where 'Add Women's Health History' permission is assigned to user/access group).
  7. In 'Women's Health History pre-display, ensure that 'Edit' button is present for view/edit of existing records for valid episodes (where 'Edit Women's Health History' and/or 'View Women's Health History' permissions are assigned to user/access group). Ensure that episodes/records available for edit selection include only those where Program of episode is allowed/valid for user's Contracting Provider agency.
  8. Click 'Add Health History Record' button to enter new record, or 'Edit' button to view/edit existing record.
  9. In 'Episode Number' field for new 'Women's Health History' record entry, ensure that episodes available for selection include only those where Program of episode is allowed/valid for user's Contracting Provider agency; ensure that episodes where Program of episode is disallowed/invalid for user's Contracting Provider agency are not included/available for selection in the 'Episode Number' field.
  10. Ensure that 'Episode Number' and 'Date of Assessment' fields are required (and that same fields cannot be edited when viewing/updating existing record).
  11. In ProviderConnect 'Women's Health History' form/record detail, ensure that the following fields are displayed and available for entry (including existing field values where present when viewing/editing):

  43. Enter/select values for all required/desired fields, and click 'Save Changes' to save/file 'Women's Health History' record.
  44. Ensure user is automatically redirected to 'Women's Health History' pre-display on saving/filing form, and that new or edited record is present in pre-display.
