OE NX - Order Entry Console - "All Episodes" selected
Note - These testing guidelines assume the user is skilled in the use of, at a minimum, the following:
  • Order Entry Console
  • Order Entry User Definition
Scenario 1: OE NX - Access to the Orders This Episode and Admission Reconciliation sections when "All Episodes" is selected with and without the 'Deactivate User For Order Entry' checkbox being checked.
Specific Setup:
  • A client with an active inpatient episode must exist. (Client A)
Steps
  1. Search for and select “Order Entry User Definition”.
  2. Search for and select "User A" from ’Select Order Entry User’ field.
  3. Check “Deactivate” in ‘Deactivate User for Order Entry’ checkbox.
  4. Select [Submit] and close the form.
  5. Log out of the application and log back in.
  6. Search for and select "Client A".
  7. Select "All Episodes" in the 'Episode' field at the top of the application.
  8. Access the Order Entry Console and validate that a message is displayed stating "Please select a client episode to continue".
  9. Select an episode in the 'Episode' field at the top of the application.
  10. Validate that a message is displayed stating "Widget disabled due to your security settings".
  11. Select 'Admission Reconciliation' tab and validate that a message is displayed stating "Widget disabled due to your security settings".
  12. Select "All Episodes" in the 'Episode' field at the top of the application.
  13. Access the Order Entry Console and validate that a message is displayed stating "Please select a client episode to continue".
  14. Select an episode in the 'Episode' field at the top of the application.
  15. Validate that a message is displayed stating "Widget disabled due to your security settings".
  16. Search for and select “Order Entry User Definition”.
  17. Search for and select "User A" from ’Select Order Entry User’ field.
  18. Uncheck “Deactivate” in ‘Deactivate User for Order Entry’ checkbox.
  19. Select [Submit] and close the form.
  20. Log out of the application and log back in.
  21. Search for and select "Client A".
  22. Select "All Episodes" in the 'Episode' field at the top of the application.
  23. Access the Order Entry Console and validate that a message is displayed stating "Please select a client episode to continue".
  24. Select an episode in the 'Episode' field at the top of the application.
  25. Validate the 'Order Entry Console (Orders This Episode section)' is displayed with no warning.
  26. Select "All Episodes" in the 'Episode' field at the top of the application.
  27. Select 'Admission Reconciliation' tab and validate that a message is displayed stating "Please select a client episode to continue".
  28. Select an episode in the 'Episode' field at the top of the application.
  29. Validate the 'Order Entry Console (Admission Reconciliation section)' is displayed with no warning.

Specific Setup:
  • A client must have an inpatient episode (Client A).
  • “Client A” must have a ‘Date of Birth’, ‘Sex’ and address on file in the ‘Update Client Data’ form, as well as information filed in the ‘Allergies and Hypersensitivities’ form, ‘Diagnosis’ form, and in the ‘Height’ and ‘Weight’ fields in the ‘Vitals Entry’ form.
  • An advanced directive type order code must exist. (Do Not Resuscitate).
Steps
  1. Select "Client A" and access the Order Entry Console.
  2. Search for and select "Do Not Resuscitate" in the 'New Order' field.
  3. Validate that the 'Start Date' field contains the current date.
  4. Validate that the 'Start Time' field contains the current time.
  5. Validate the 'Reason’ and ‘Reason Text’ fields are not displayed.
  6. Click [Add to Scratchpad] and [Sign].
  7. Validate that the 'Order grid' contains a new “Do Not Resuscitate” order.
  8. Search for and select any pharmacy-type order from the 'New Order' field.
  9. Validate the ‘Reason’ and ‘Reason Text’ fields are displayed.
  10. Populate all required fields and click [Add to Scratchpad] and [Sign].
  11. Validate both orders created are displayed in the 'Order grid'.

Scenario 1: OE NX - Orders This Episode - Enable NCPDP Billing set to "Y" - ensure the appropriate fields are displayed
Specific Setup:
  • The 'Avatar PM->Billing->Electronic Billing->NCPDP->->Enable NCPDP Billing' registry setting must be set to "Y".
  • Please log out and log back into the application after completing the above configuration.
  • 2 Clients must be configured (Client A, Client B).
  • A client must have an active episode. (Client A)
  • Client A must have a ‘Date of Birth’, ‘Sex’ and address on file in the ‘Update Client Data’ form, as well as information filed in the ‘Allergies and Hypersensitivities’ form, ‘Diagnosis’ form, and in the ‘Height’ and ‘Weight’ fields in the ‘Vitals Entry’ form.

  8. Click [Add to Scratchpad], [Final Review], and [Sign].
  9. Access the 'Registry Settings' form.
  10. Set the registry setting 'Avatar PM->Billing->Electronic Billing->NCPDP->->Enable NCPDP Billing' to "N" and click [Submit].
  11. Please log out of the application and log back in.
  12. Select “Client A” and access the Order Entry Console.

Steps
  1. Select "Client A" and access the Order Entry Console.

  5. Validate an ‘Interactions’ dialog is displayed.
  6. Override all interactions and click [Save Override and Exit].
  7. Validate the ‘Final Review’ dialog is displayed.
  8. Select “None” in the ‘Output’ field and click [Sign].
  9. Validate the 'Order grid' contains an order for the Schedule II medication created.
  10. Select the ‘Home Medications’ tab.
  11. Search for and select a Schedule II medication.
  12. Validate the 'Refills' field contains "0" by default.

  34. Click [Continue].

  2. Validate the 'Client Dashboard' displays as expected.
  3. Navigate to the 'Quick Actions' widget.
  4. Click [Allergies / Hypersensitivities - Add].
  5. Validate the 'Allergies / Hypersensitivities' dialog displays as expected.
  6. Enter any desired value in the 'Allergen/Reactant' field.
  7. Validate the search results display as expected.
  8. Select the desired value from the search results.
  9. Select the desired date from the 'Date Recognized' field.
  10. Select the desired value from the 'Status' field.

  • A client must have an active episode. (Client A)
  • “Client A” must have a ‘Date of Birth’ and address on file in the ‘Update Client Data’ form, as well as information filed in the ‘Diagnosis’ form.
Steps
  1. Select "Client A" and access the Order Entry Console.
  2. Click the 'Discharge Medication Reconciliation' tab.
  3. Search for and select a Schedule II medication in the 'New Order' field.
  4. Set the 'Diagnosis' field to "ANXIETY" and click on [Search].
  5. Validate the 'Diagnosis' results are displayed and select any value.
  6. Create 2 orders: one for a Schedule III, and one for a Schedule IV medication.
  7. Validate the 'Diagnosis' field is required for both the Schedule II and Schedule III medications.
  8. Validate the 'Diagnosis' field is not required for the Schedule IV medication.
Scenario 2: OE NX - Orders This Episode and Admission Reconciliation – Searching for a diagnosis when the 'Remove References to ICD-9/DSM-IV Codesets' registry setting set to “1” or "2".
Specific Setup:
  • The 'Avatar PM->Client Information->Diagnosis->->->Remove References to ICD-9/DSM-IV Codesets' registry setting must be set "1".
  • Please log out of and back into the application after this configuration has been done

  7. Populate all required fields and set the 'Diagnosis' field to "ANXIETY".
  8. Click on [Search] and validate the 'Diagnosis' dialog is displayed and contains values.
  9. Select any value and click [Add to Scratchpad] and [Final Review].
  10. Validate the 'Final Review' dialog is displayed.
  11. Select "None" in the 'Output' field for the order and click [Sign].

Scenario 1: OE NX - Scheduled One Time Only frequency Code - 'First Dose' adjustment allowed when 'Give Initial Dose Now' "60"
Specific Setup:
  • The 'Avatar Order Entry->Facility Defaults->Client Profile->->->'First Dose' adjustment allowed when 'Give Initial Dose Now'' registry setting must be set to "60".
  • A frequency code (Frequency Code A) must be configured with a 'Routine or PRN(As Needed)' set to "Routine", with scheduled hour(s) of administration set to "08:00 AM" and 'Default Give Initial Dose Now' set to "No" in the 'Frequency Code Setup' form
  • Please log out of the application and log back in after completing the above configuration.
  • A client must have an active episode. (Client A)
  • "Client A” must have a ‘Date of Birth’, ‘Sex’ and address on file in the ‘Update Client Data’ form, as well as information filed in the ‘Allergies and Hypersensitivities’ form, ‘Diagnosis’ form, and in the ‘Height’ and ‘Weight’ fields in the ‘Vitals Entry’ form.

Steps
  1. Select "Client A" and access the Order Entry Console.

  3. Populate the required fields selecting "Frequency Code A" from the 'Frequency' field.
  4. Validate 'Skip First Dose' [Yes] is disabled.
  5. Validate the 'First Dose Date' field contains tomorrow's date.
  6. Validate the 'First Dose Time' field contains "08:00 AM".
  7. Validate the 'Start Date' field contains tomorrow's date.
  8. Validate the 'Start Time' field contains "08:00 AM".
  9. Click 'Give Initial Dose Now' [Yes].
  10. Validate the 'First Dose Date' field contains the current date.
  11. Validate the 'First Dose Time' field contains the current time rounded up to the nearest half hour.
  12. Change the 'First Dose Time' to any time greater than 60 minutes past the current time.
  13. Validate that 'Give Initial Dose Now' [Yes] is not selected.
  14. Click 'Give Initial Dose Now' [Yes].
  15. Populate any remaining required fields and click [Add to Scratchpad] and [Sign].
  16. Validate the order displays in the 'Order grid'.
Scenario 2: OE NX - Order Group - First Dose/Start Time Validation - One-Time-Only
Specific Setup:
  • A frequency code must be configured in the 'Frequency Code Setup' form with the following attributes: (Frequency Code A)
  • 'Routine or PRN(As Needed) = "Routine".
  • 'One Time Only' = "Yes".
  • 'Times/24 Hours' = "1".
  • 'Interval Frequency' = "No".
  • 'Daily Administration' = "Daily".
  • 'Default to Give Initial Dose Now' = "No".
  • 'Hours of Administration' = "08:00 AM".
  • A frequency code must be configured in the 'Frequency Code Setup' form with the following attributes: (Frequency Code B)
  • 'Routine or PRN(As Needed) = "Routine".
  • 'One Time Only' = "No".

Steps
  1. Select "Client A" and access the Order Entry Console.
  2. Search for and select "Order Group A" in the 'New Order' field.
  3. Validate the 'Order Group' dialog is displayed and that "Order Code A" and "Order Code B" are selected by default.
  4. Validate the 'Frequency' fields are defaulted from the 'Order Group Setup' form.
  5. For "Order Code A":
  6. Set the 'Dose' field to "1".
  7. Set the 'Dose Unit' field to "Tablet".
  8. Validate the 'First Dose Date' field is equal to "Tomorrow's date".
  9. Validate The 'First Dose Time' field is equal to "08:00 AM".
  10. Set the 'Start Time' Field to "12:00 PM".
  11. Change the 'First Dose Time' field as "1155" and press Tab.
  12. Validate an "Administration times must be on the hour or half-hour" message is displayed and click [OK].
  13. Uncheck the 2nd checkbox to deselect "Order Code B".
  14. Validate the 'First Dose Time' field is still "12:00 PM" for the "Order Code A".
  15. Click [Add to Scratchpad] and then select "Order Code A".
  16. For "Order Code A":
  17. Validate the 'Dose' field is equal "1".
  18. Validate the 'Dose Unit' field is equal to "Tablet".
  19. Validate the 'First Dose Date' field is equal to "Tomorrow's date".
  20. Validate The 'First Dose Time' field is equal to "12:00 PM".
  21. Validate the 'Start Date' field is disabled and equal to the 'First Dose Date' field.

  • "Client A” must have a ‘Date of Birth’, ‘Sex’ and address on file in the ‘Update Client Data’ form, as well as information filed in the ‘Allergies and Hypersensitivities’ form, ‘Diagnosis’ form, and in the ‘Height’ and ‘Weight’ fields in the ‘Vitals Entry’ form.
Steps
  1. Select "Client A" and access the Order Entry Console.
  2. Select the 'Admission Reconciliation' tab.
  3. Search for and select any pharmacy-type order code.
  4. Populate the required fields selecting "One Time Only" from the 'Frequency' field.
  5. Validate the 'First Dose Date' field contains current date.
  6. Validate the 'First Dose Time' field contains the current time rounded up to the nearest half hour/hour.
  7. Change the 'First Dose Time' field as "12:15 PM" and press Tab.
  8. Validate an "Administration times must be on the hour or half-hour" message is displayed and click [OK].
  9. Validate the 'First Dose Time' field contains "12:30 PM".
  10. Click [Add to Scratchpad] and [Reconcile & Review].
  11. Validate the ‘Interactions’ dialog is displayed.
  12. Override all interactions and click [Save Override and Exit].
  13. Validate the 'Final Review' dialog is displayed.
  14. Select "None" in the 'Output' field and click [Sign].

  10. Validate a black flag displays next to the 'Draft/Final' field.
  11. Select "Draft" from the 'Draft/Final' field.
  12. Click [Submit Note].
  13. Validate a 'Progress Notes' message is displayed stating: "Note Filed. Do you want to return to the Progress Notes form?"
  14. Click [No].
  15. Select "Client A" and access the 'Allergies and Hypersensitivities' form.
  16. Validate the 'Known Medication Allergies' and 'Known Food Allergies' fields are black and bold.
  17. Click [Update].
  18. Click [New Row].
  19. Validate the borders of the required fields are black.
  20. Enter the desired food allergy and populate the desired fields.
  21. Click [Save].
  22. Validate "Yes" is selected in the 'Known Food Allergies' field.
  23. Select "No" from the 'Known Medication Allergies' field.
  24. Click [Submit].
  25. Access the 'Scheduling Calendar'.
  26. Right click on "Appointment A" and select "Delete".
  27. Validate a 'Recurring Appointments' dialog displays.
  28. Select a date and press the 'Tab' key.
  29. Validate the date below displays highlighted with a black border.
  30. Select the desired date and click [OK].
  31. Validate a 'Delete Appointment' message displays stating: "Are you sure?" and click [Yes].
  32. Validate the selected appointment no longer displays.
  33. Close the calendar.
