Scheduling Calendar - Staff 'Practitioner Category' filter
The staff 'Practitioner Category' filter is added to the 'Scheduling Calendar' in Avatar NX. This gives users the ability to filter staff availability based on practitioner type.
Please note: Avatar NX Release 2023.11.00 and Avatar NX Release 2023.12.00 are required for full functionality.

Scenario 1: Scheduling Calendar - Validate the 'Practitioner Category' filter
Specific Setup:
  • Please note: This is for Avatar NX only.
  • Multiple staff members are defined with hours for scheduling.
  • Multiple practitioner categories are defined (Psychiatrist & Social Worker will be used for testing).
Steps
  1. Access the 'Scheduling Calendar' form.
  2. Select "Staff" in the calendar 'Filter' field.
  3. Validate the 'Practitioner' filter is displayed and contains a list of practitioner categories for coverage.
  4. Select "Psychiatrist" as the 'Practitioner' filter.
  5. Validate the 'Staff Members' list contains only staff members with "Psychiatrist" as one of their 'Practitioner Categories For Coverage' in 'Practitioner Enrollment' who have hours at the selected site.
  6. Click [Dismiss] and [OK] to close the calendar.
  7. Access the 'Scheduling Calendar' form.
  8. Validate "Psychiatrist" is still selected as the 'Practitioner' filter.
  9. Select "Social Worker" as the 'Practitioner' filter.
  10. Validate the 'Staff Members' list contains only staff members with "Social Worker" as one of their 'Practitioner Categories For Coverage' in 'Practitioner Enrollment' who have hours at the selected site.
  11. Select "No Category Selected" as the 'Practitioner' filter.

Scenario 1: Scheduling Calendar - Validate 'Additional Sites' functionality
Specific Setup:
  • Please note: this is for Avatar NX only.
  • Three sites are defined with hours for scheduling in 'Site Registration' (Site A, Site B, Site C).
  • A staff member has hours for scheduling at all three sites with existing appointments scheduled (Staff Member A).
Steps
  1. Access the 'Scheduling Calendar' form.
  2. Select "Staff" in the calendar 'Filter' field.
  3. Validate the 'Additional Sites' field is displayed with a list of sites with hours for scheduling.
  4. Please note: if it is not displayed, please check off the "Addl Sites" option at the bottom left corner of the 'Scheduling Calendar' in order to include it.
  5. Select "Site A" in the 'Site' field.
  6. Select "Staff Member A" in the 'Staff Members' field.
  7. Validate hours/appointments for "Staff Member A" at "Site A" are displayed.
  8. Select "Site A" and "Site B" in the 'Additional Sites' field.
  9. Validate hours/appointments for "Staff Member A" at "Site A", "Site B", and "Site C" are displayed.
  10. Validate the appointment cards contain the site name.
  11. De-select "Site B" in the 'Additional Sites' field.
  12. Validate hours/appointments for "Staff Member A" at "Site A" and "Site C" are displayed.
  13. Click [Dismiss] and [OK] to close the calendar.

Appointment Scheduling - 'Patient Calendar' functionality
Note - These testing guidelines assume the user is skilled in the use of, at a minimum, the following:
  • Registry Settings (PM)

  • Scheduling Calendar - Find Existing Appointment
Scenario 1: Patient Calendar - Validate the 'Allow Client Only Services in the Scheduling Calendar' registry setting
Specific Setup:
  • Please note: this is for Avatar NX only.
  • The 'Allow Client Only Services in the Scheduling Calendar' registry setting is set to "Y".
  • A client must be enrolled in an existing episode (Client A).
  • An individual service code must be defined with "Client Only" selected for 'Service Required By' in the 'Service Codes' form (Service Code A).
Steps
  1. Access the 'Registry Settings' form.
  2. Enter "Allow Client Only Services in the Scheduling Calendar" in the 'Limit Registry Settings to the Following Search Criteria' field.
  3. Click [View Registry Settings].
  4. Validate the 'Registry Setting' field contains "Allow Client Only Services in the Scheduling Calendar".
  5. Validate the 'Registry Setting Details' field contains: Use this registry setting to allow Client Only services to be selected for appointments in the Scheduling Calendar as well as via web service. Please note: this functionality is only available when using MyAvatar NX. Select 'Y' to enable this functionality and 'N' (or blank) to disable it.
  6. Validate the 'Registry Setting Value' contains "N" as the default value.
  7. Close the form.
  8. Access the 'Scheduling Calendar' form.
  9. Select "Patient" in the calendar 'Filter' field.
  10. Search for and select "Client A" in the 'Patient Search' field.
  11. Validate "Client A" now displays as selected in the 'Recent' list.
  12. Validate the 'Appointment Grid' now contains available time for "Client A".
  13. Right click in any available time slot for "Client A" and click [Add Appointment].
  14. Select "Service Code A" in the 'Service Code' field.
  15. Validate a message is displayed stating: Client only service codes cannot be used within appointment scheduling.
  16. Click [OK] and close the form.

  42. Validate the 'Appointment Grid' no longer contains available time for "Client A".
  43. Click [Dismiss] and [OK] to close the calendar.
Scenario 2: Patient Calendar - Validate functionality of the 'Patient' calendar filter
Specific Setup:
  • Please note: this is for Avatar NX only.
  • The 'Allow Client Only Services in the Scheduling Calendar' registry setting is set to "Y".
  • A client must be enrolled in an existing episode and in the logged in user's caseload (Client A).
  • A client must be enrolled in an existing episode but is not in the logged in user's caseload (Client B).
  • An individual service code must be defined with "Client Only" selected for 'Service Required By' in the 'Service Codes' form (Service Code A).
  • An individual service code must be defined with "Both" selected for 'Service Required By' in the 'Service Codes' form (Service Code B).
Steps
  1. Access the 'Scheduling Calendar' form.
  2. Validate the 'Filter' field is displayed and contains "Staff" and "Patient" options.
  3. Select "Patient" in the calendar 'Filter' field. This filter can be used to view a patient-specific calendar.
  4. Validate the 'Program' field is displayed and contains a list of defined programs.
  5. This filter will display patients available for selection by the selected program.
  6. Validate the 'Unit' field is displayed and contains a list of defined units.
  7. This filter will display patients available for selection by the selected unit.
  8. Validate the 'Patients' list is displayed and contains a list of patients in the user's caseload.
  9. Select "Client A" from the 'Patients' list.
  10. Validate the 'Recent' list is now displayed and contains "Client A".
  11. Validate the 'Appointment Grid' now contains available time for "Client A".
  12. Validate the 'Patient Search' field is displayed.
  13. Search and select "Client B" in the 'Patient Search' field.
  14. Validate the 'Recent' list now contains "Client A" and "Client B".
  15. Validate the 'Appointment Grid' now contains available time for "Client A" and "Client B".
  16. Click [Dismiss] and [OK] to close the calendar.
  17. Access the 'Scheduling Calendar' form.
  18. Validate "Patient" remains selected in the 'Filter' field.

  • Multiple clients are admitted into "Program A" and "Program B".
Steps
  1. Access the 'Scheduling Calendar' form.
  2. Select "Patient" in the calendar 'Filter' field.
  3. Validate the 'Program' filter is displayed and contains a list of programs defined in 'Program Maintenance'.
  4. Select "Program A" as the 'Program' filter.
  5. Validate the 'Patients' list contains only patients admitted into "Program A".
  6. Select "No Program Selected" as the 'Program' filter.
  7. Validate the 'Patients' list contains a list of all patients in the user's caseload.
  8. Select "Program B" as the 'Program' filter.
  9. Validate the 'Patients' list contains only patients admitted into "Program B".
  10. Select the desired patient(s) from the 'Patients' list.
  11. Validate the selected patient(s) now display in the 'Recent' list.
  12. Validate the calendar grid now displays time for the selected patient(s).
  13. Click [Dismiss] and [OK] to close the calendar.
  14. Access the 'Scheduling Calendar' form.
  15. Validate "Program B" is still selected as the 'Program' filter.
  16. Validate the previously selected patient(s) are still selected in the 'Patients' and 'Recent' lists.

  • Multiple clients are admitted into "Unit A" and "Unit B".
Steps
  1. Access the 'Scheduling Calendar' form.
  2. Select "Patient" in the calendar 'Filter' field.
  3. Validate the 'Unit' filter is displayed and contains a list of defined units.
  4. Select "Unit A" as the 'Unit' filter.
  5. Validate the 'Patients' list contains only patients admitted into "Unit A".
  6. Select "No Unit Selected" as the 'Unit' filter.
  7. Validate the 'Patients' list contains a list of all patients in the user's caseload.
  8. Select "Unit B" as the 'Unit' filter.
  9. Validate the 'Patients' list contains only patients admitted into "Unit B".
  10. Select the desired patient(s) from the 'Patients' list.
  11. Validate the selected patient(s) now display in the 'Recent' list.
  12. Validate the calendar grid now displays time for the selected patient(s).
  13. Click [Dismiss] and [OK] to close the calendar.
  14. Access the 'Scheduling Calendar' form.
  15. Validate "Unit B" is still selected as the 'Unit' filter.

  • An individual service code must be defined with "Client Only" selected for 'Service Required By' in the 'Service Codes' form (Service Code A).
Steps
  1. Access the 'Scheduling Calendar' form.
  2. Select "Patient" in the calendar 'Filter' field.
  3. Search for and select "Client A" in the 'Patient Search' field.
  4. Validate "Client A" now displays as selected in the 'Recent' list.
  5. Validate the 'Appointment Grid' now contains available time for "Client A".
  6. Right click in any available time slot for "Client A" and click [Add Appointment].
  7. Select "Service Code A" in the 'Service Code' field.
  8. Validate the 'Client' field contains "Client A".
  9. Select the desired episode in the 'Episode #' field.
  10. Select the desired location in the 'Location' field.
  11. Select the desired program in the 'Program' field.

  19. Right click on the appointment and click [Check Out].
  20. Validate the 'Scheduling Calendar - Check Out' form is displayed and contains the appointment data.
  21. Click [Submit].
  22. Validate the 'Appointment Grid' contains the checked out appointment for "Client A".
  23. Click [Dismiss] and [OK] to close the calendar.
Scenario 6: Patient Calendar - Add a group appointment using a "Client Only" service code
Specific Setup:
  • Please note: this is for Avatar NX only.
  • The 'Allow Client Only Services in the Scheduling Calendar' registry setting is set to "Y".
  • A group (Group A) must be defined with two or more clients (Client A & Client B).
  • A group service code must be defined with "Client Only" selected for 'Service Required By' in the 'Service Codes' form (Service Code A).
Steps
  1. Access the 'Scheduling Calendar' form.
  2. Select "Patient" in the calendar 'Filter' field.
  3. Search for and select "Client A" in the 'Patient Search' field.
  4. Validate "Client A" now displays as selected in the 'Recent' list.
  5. Validate the 'Appointment Grid' now contains available time for "Client A".
  6. Search for and select "Client B" in the 'Patient Search' field.
  7. Validate "Client B" now displays as selected in the 'Recent' list.
  8. Validate the 'Appointment Grid' now contains available time for "Client B".
  9. Right click in any available time slot and click [Add Appointment].
  10. Select "Service Code A" in the 'Service Code' field.
  11. Validate the 'Client' field is disabled.
  12. Validate the 'Practitioner' and 'Co-Practitioner' fields are disabled.
  13. Select "Group A" in the 'Group #' field.
  14. Select the desired value in the 'Program' field.
  15. Select the desired value in the 'Location' field.
  16. Click [Submit].
  17. Validate the 'Appointment Grid' contains the group appointment for "Client A" and "Client B".
  18. Right click on one of the group appointments and click [Check In].
  19. Select "All Group Members" in the 'Group Member Selection' dialog.
  20. Validate the 'Scheduling Calendar - Check In' form is displayed for "Client A" and contains the appointment data.
  21. Click [Submit].
  22. Validate the 'Scheduling Calendar - Check In' form is displayed for "Client B" and contains the appointment data.
  23. Click [Submit].
  24. Right click on one of the group appointments and click [Check Out].
  25. Select "All Group Members" in the 'Group Member Selection' dialog.
  26. Validate the 'Scheduling Calendar - Check Out' form is displayed for "Client A" and contains the appointment data.
  27. Click [Submit].
  28. Validate the 'Scheduling Calendar - Check Out' form is displayed for "Client B" and contains the appointment data.

Scenario 7: Front Desk - Check In and Check Out "Client Only" appointments

  • A client must be enrolled in an existing episode (Client A).
  • An individual service code must be defined with "Client Only" selected for 'Service Required By' in the 'Service Codes' form (Service Code A).
Steps
  1. Access the 'Scheduling Calendar' form.
  2. Select "Patient" in the calendar 'Filter' field.
  3. Search for and select "Client A" in the 'Patient Search' field.
  4. Validate "Client A" now displays as selected in the 'Recent' list.
  5. Validate the 'Appointment Grid' now contains available time for "Client A".
  6. Right click in any available time slot for "Client A" and click [Add Appointment].
  7. Select "Service Code A" in the 'Service Code' field.
  8. Validate the 'Client' field contains "Client A".

  23. Validate the appointment displays as checked in for "Client A".

  25. Access the 'Front Desk' form.
  26. Enter the current date in the 'Date' field.
  27. Select the site used for scheduling in the 'Site' field.
  28. Select the "Check Out" section.
  29. Select "Client A" in the 'Client Checking Out' field.

Scenario 8: Patient Calendar - Find Existing Appointment - Search by Client
Specific Setup:
  • A client must have an existing appointment scheduled (Client A).
Steps
  1. Access the 'Scheduling Calendar' form.
  2. Select "Patient" in the calendar 'Filter' field.
  3. Click [Find Existing Appointments].
  4. Verify the 'Scheduling Calendar - Find Existing Appointment' window is displayed.
  5. Enter the current date in the 'Search Start Date' field.
  6. Select "Client A" in the 'Client' field.
  7. Click [Find Appointment].
  8. Verify the 'Find Existing Appointment' window is displayed.
  9. Select any existing appointment in the 'Find Existing Appointment' table.
  10. Click [OK].
  11. Validate the 'Recent' list now contains "Client A".
  12. Validate the 'Appointment Grid' is displayed and the existing appointment selected in the previous steps for "Client A" is highlighted.
  13. Click [Dismiss].
Scenario 9: Patient Calendar - Find Existing Appointment - Search by Practitioner
Specific Setup:
  • A practitioner must have existing appointments scheduled (Practitioner A).
  • A client must have an existing appointment scheduled with "Practitioner A".
Steps
  1. Access the 'Scheduling Calendar' form.
  2. Select "Patient" in the calendar 'Filter' field.
  3. Click [Find Existing Appointments].
  4. Verify the 'Scheduling Calendar - Find Existing Appointment' window is displayed.
  5. Enter "Practitioner A" in the 'Practitioner' field.
  6. Enter the current date in the 'Search Start Date' and 'Search End Date' fields.
  7. Click [Find Appointment].
  8. Verify the 'Find Existing Appointment' table is displayed with appointments for the current date for "Practitioner A".
  9. Select the existing appointment for "Client A" in the 'Find Existing Appointment' table.
  10. Click [OK].
  11. Validate the 'Recent' list now contains "Client A".

Scenario 10: Patient Calendar - Find Existing Appointment - Search by Group
Specific Setup:
  • A group must be defined with an existing appointment scheduled (Group A).
Steps
  1. Access the 'Scheduling Calendar'.
  2. Select "Patient" in the calendar 'Filter' field.
  3. Click [Find Existing Appointments].
  4. Verify the 'Scheduling Calendar - Find Existing Appointment' window is displayed.
  5. Enter the current date in the 'Search Start Date' field.
  6. Select "Group A" in the 'Client' field.
  7. Click [Find Appointment].
  8. Verify the 'Find Existing Appointment' window is displayed.
  9. Select any existing appointment in the 'Find Existing Appointment' table.
  10. Click [OK].
  11. Validate the 'Scheduling Calendar - Appointment Details' form is displayed with the appointment details for the existing appointment for "Group A".
  12. Click [Discard] and [Dismiss].
