About documenting received inventory
This article describes situations you may encounter when documenting inventory on the Receive Inventory form in myAvatar AM and includes recommendations for handing the situations.
- When documenting received inventory, different lot numbers and breaks in the consecutive bottle numbers of the same lot must be accounted for. Some medication suppliers provide a lot number and unique control number for each methadone bottle.
- Example: If the shipment includes a total of 5 methadone bottles with the same lot number and consecutive control numbers, enter the lowest of the consecutive numbers in the Starting Label Number field on the Receive Inventory form. Then enter the number 5 in the Number of Units field. The last few numbers in the Starting Label Number field are changed by using a higher number, and a new bottle is added for each listed in the Number of Units.
- If you receive medication shipments from suppliers who do not label each bottle individually, you must assign an arbitrary bottle number for documentation purposes in myAvatar AM. You cannot simply list the lot number.
- You cannot have two of the same label numbers in myAvatar AM, and if any number other than 1 is listed under Number of Units, myAvatar AM changes the last number under Starting Label Number. The Starting Label Number is still entered with the format 'lot number-bottle number', but the bottle number is an arbitrary number. If this is the first time you are receiving this lot number, then you can use '-01' behind the lot number and enter the number of units received in the shipment.
- The Clinic Receiving Inventory and Note fields on the Receive Inventory form are needed to document which clinic is receiving the inventory and any notes about the shipment. The Clinic Receiving Inventory field documents which inventory the new shipment goes into and which clinic is able to dispense the medication. If you do not have multiple clinics using myAvatar AM to dispense medication, you most likely only see LIVE in this field. If there are multiple clinics in your organization dispensing medication from myAvatar AM, you see specific clinics for your organization.
