Automated Letter Request Setup - PM

Configure the automatic update of letter requests from myAvatar Appointment Scheduling.

Avatar PM > System Maintenance > Client Maintenance

  • Letter requests can be automated for appointment reminders, missed appointments, and more.

Prerequisites:

  • Avatar Appointment Scheduling 1.0 or higher is required.

  • Letter types must be defined for the system.

  1. Select whether or not to Enable Automated Letter Requests from Appointment Scheduling.

  1. Select the default language for the letter if none is specified in the client record.

  2. Select the Letter Type to Generate from the drop-down menu.
    Note: Letter types are stored in a dictionary in the database. Refer to the Letter Maintenance form, or contact the system administrator.

  3. Enter the Number of Days Prior to the Appointment Date to Request the Letter.

  4. Specify the minimum number of days prior to the appointment date that a request can be filed for a letter to be generated.
    Note: Appointments scheduled fewer than this number of days before the appointment date will not generate letters.

  5. Select the Status(es) for which to Create Letter Requests.

  6. Select the Status(es), if any, for which to Delete Letter Requests.

  7. Select whether or not to Enable Automated Letter Requests for Missed Appointments.

  8. Select the Language and Letter Type, as in steps 2 and 3.

  9. Select the Status(es) for which to Create or Delete Letter Requests, as in steps 6 and 7.

  10. Click Submit.
