Removing a Staff Member from TheraOffice
Description:
This guide will outline the appropriate steps one should take to remove a staff member from TheraOffice. The steps vary based on the type of staff member that needs to be removed.
Applies to:
Administrator Users
Billing, Front Office or any Non-Provider User
These staff members can simply be deleted from the system. A user with administrator access can do so with the following steps:
- Go to the Backstage Menu and selectAdministrator
- Locate and selectStaff under the Securitysection.
- Click on the desired non-provider user and then select Delete Staff from the top of the screen.
Clinics sometimes have a generic login for staff members such as "Billing" or "Front Office." We recommend every user having his or her own login for HIPAA purposes. If you are currently utilizing a general user, we recommend contacting our Sales team at 630-455-1863 x1 and discussing options to protect your clinic's security.
If you are replacing this user immediately with a new staff member, you will not need to take any further steps. If you will not be replacing this user, you may want to decrease your license. If so, please contact our Sales team.
Providers
To remove a provider, a few different steps need to be taken. (If a new user is to replace the provider, please skip to step #3)
1. The first and most important is making sure that any documentation, claims or claim rejections are completed or submitted before any steps are taken to remove the staff member and his or her license.
2. Now, the provider can be removed from TheraOffice. To do so, please carefully follow these steps to ensure no documentation or other important health information is deleted!
- Go to the Backstage Menu and selectAdministrator
- Locate and selectStaff under the Securitysection.
- Click on the desired provider and then select Delete Staff from the top of the screen.
3. After the staff member is deleted, he or she should be removed from the schedule by deactivating their resource.
- Go to the Backstage Menu and select Administrator
- Locate and select Resources under the Scheduling section.
- Double click on the provider's resource and uncheck the Enabled box. This will disable the resource.

NEVER DELETE THE PROVIDER FROM THE RESOURCE PAGE. THIS WILL BREAK THE DOCUMENTATION COMPLETED BY THE PROVIDER AND CAUSE ISSUES WITH REPORTS.
4. Once this is done, the license can be removed by contacting our sales team (sales@theraoffice.com) or our support team.
- Please provide either team with: Clinic name, provider type and a call back name, email and phone number. A member of our sales team will reach out to you in order to remove the license from your account.
