Preparing for the Early 2023 Update

Steps:
Download The Early 2023 Update V(.24)
The early 2023 update will become available to customers within the coming weeks. Once the update is available, approve the update for all users. It is very important that any clinic participating in the MIPS program download the .24 update as soon as possible.
1. Navigate to the Backstage Menu > Administrator > Update Manager. Once in the Update Manager, select Step 3 to download the update (v24) and approve it for the entire clinic. Once updated, users will be prompter to run the MIPS Wizard for 2023.
Once approved using step 3, the update will push out to all computers at the clinic. The update typically will apply the next time a user logs in. Pushing out the update will not disrupt workflow for web clients and non-terminal server On- Site Clients.
*On- Site Terminal Server Clients ONLY*
Note: For On-Site clients using Terminal environments, the update will need to be pushed out to the Terminal Server first. See directions below for Terminal Environments.
1. Ensure that all users are logged out of the server.
2. Navigate to the Backstage Menu > Administrator > Update Manager. Once in the Update Manager, select Step 2 to download the update (v24) and approve it for the single computer. Once the terminal server(s) are updated, the update can be pushed out to any local computers using TheraOffice.
3. To Push out the update to the rest of the computers, Navigate to the Backstage Menu > Administrator > Update Manager. Once in the Update Manager, select Step 3 to download the update (v24) and approve it for the entire clinic.
Financial Cap Reset
Note: The financial cap for 2023 is $2,230.
Web Customers
Each Year on January 1st, the financial cap will automatically update to the most current cap per Medicare guidelines as long as there is a Financial Cap that is set within the Reminders Tab of the Case information. Once the cap is reset, the fee schedule for the patient will automatically switch from the Medicare KX Fee Schedule to the Primary Insurance Fee Schedule.
Please note that the reset will only run if there is a financial cap set within the Reminders of the Case Information. If the financial cap is set to $0, the cap will NOT update.
On-Site Customers
Each Year, On-Site customers will need to run the Financial Cap Reset within the Add in Manager of Administrator. This reset will update the financial cap to the most current cap per Medicare guidelines as long as there is a Financial Capthat is set within the Reminders Tab of the Case information. Once the cap is reset, the fee schedule for the patient will automatically switch from the Medicare KX Fee Schedule to the Primary Insurance Fee Schedule.

Update Troubleshooting
The most common update issue is an error that the update has been rolled back. This typically happens if there are any TheraOffice files in use. For example, if the log in screen is open while the update is applying, the update will fail. In order to resolve this issue, close out of the TheraOffice application completely. Once closed out, please re-open the application. If the update is still failing, a computer restart is recommended.
Steps for update troubleshooting
1. Completely log out of TheraOffice. Ensure that the log in screen is also closed. Next, reopen TheraOffice to push the update though.
2. If step 1 does not work, restart the computer. This will help ensure that all TheraOffice background processes are stopped which should allow the update to apply.
MIPS Troubleshooting
User Can't Lock Notes - This typically happens because the user is on a build of TheraOffice prior to the .24 update. Once the MIPS Wizard has been run for 2023, all users must be on version .24 or above in order to lock notes.
Users in previous version of TheraOffice will see the below pop up if the MIPS Wizard has been configured for 2023. The Wizard will not need to be configured again. Instead, the user will want to update their computer to .24. Once on the update, the pop up will no longer appear if the system has already been configured for 2023.
