Pay Rates Calculator Conversion Exception Report – Generated

The Pay Rates Calculator Conversion Exception report displays the data which cannot be converted while moving to the new Pay Rates Calculator functionality and need to be corrected manually for proper pay rates calculation after the successful conversion process.

When the agency moves to the new Pay Rates Calculator system for the first time, the old data conversion is performed automatically by Netsmart Homecare. When you select the Use Pay Rates Calculator check box in Administration>Configuration>Business Units>Settings>Financial and save your changes, the data that cannot be converted is displayed in the Pay Rates Calculator Conversion Exception report.

The data that is automatically converted include: agency week information, pay rate codes, base rates, holiday and weekend rates, shift rates, negotiated staff and contractors rates. The overtime rates are ignored during data conversion.

If there is at least one record that cannot be converted, the warning message appears where you can select to print the Pay Rates Calculator Conversion Exception report for viewing the incorrect data, skip found errors and proceed with conversion, or cancel the conversion process.

The specificity of the Pay Rates Calculator Conversion Exception report is that this report contains only the Preview tab and shows all data that cannot be converted. You cannot define the information you want to include in the report. Closing the Preview tab results in the whole report closure.

The generated report consists of the three subreports:

Field Name

Description

Pay Rates Calculator Staff Pay Rates

Code

Displays the code of the pay rate.

Eff. Date

Displays the start date of the corresponding pay rate.

End Date

Displays the end date of the corresponding pay rate.

Branch

Displays the branch of the Business Unit the resource belongs to.

Amount

Displays the amount for the pay rate (per hour or per visit).

Basis

Displays the basis for the corresponding pay rate amount. The available values are:

P (Percentage) – If this basis is selected, the value in the Amount field is a percentage. The overtime, holiday, or weekend rates are calculated as normal pay rate plus the defined percentage of the normal rate.

H (Per Hour) – If this basis is selected, the value in the Amount field is money paid for every regular, overtime, holiday, or weekend hour.

OT Amount

Displays the overtime amount for the selected pay rate.

Basis

Displays the basis for the overtime pay rate amount.

Hol. Amt

Displays the holiday amount for the selected pay rate.

Basis

Displays the basis for the Holiday amount.

Wk. Amt

Displays the weekend amount for the selected pay rate.

Basis

Displays the basis for the Weekend amount.

Shift Name

Displays the shift name in which the service was performed.

Amount Basis

Displays the basis for the Shift rate.

The description provided below applies for both Negotiated Staff Pay Rates and Negotiated Contractor Pay Rates subreports.

Negotiated Staff/Contractor Pay Rates

Resource ID/name

ID and name of the resource who performed a service.

Patient Code/name

Name and ID of the patient for whom the service was provided by the corresponding resource.

Svc. Code

Displays the code of the service performed by the corresponding resource.

Eff. Date

Displays the start date of the service.

End Date

Displays the end date of the service.

Amount

Displays the amount for the regular pay rate (per hour or 
per visit).

Basis

Displays the basis for the regular pay rate amount. The available values are:

P (Percentage) – If this basis is selected, the value in the Amount field is a percentage. The overtime, holiday, or weekend rates are calculated as normal pay rate plus the defined percentage of the normal rate.

H (Per Hour) – If this basis is selected, the value in the Amount field is money paid for every regular hour.

OT Amount/Basis

Displays the amount and basis for the overtime pay rate 
(P - Percentage or H - Per Hour).

Holiday Amount/Basis

Displays the amount and basis for the holiday pay rate 
(P - Percentage or H - Per Hour).

Wk. Amount/Basis

Displays the amount and basis for the weekend pay rate 
(P - Percentage or H - Per Hour).

This report contains only the Preview tab and shows all data that cannot be converted.

Generating Pay Rates Calculator Conversion Exception Report

1.

Open the Pay Rates Calculator component.

2.

From the menu bar, select Reports>Pay Rates Calculator Conversion Exception Report.

3.

The Pay Rates Calculator Conversion Exception Report window appears with the Preview tab active where you can view payroll data that cannot be converted automatically.

4.

If needed, print or save the report in the necessary format.
